Job Summary
The Transaction Coordinator plays a critical support role within FlipCo Financials Operations Department. This position works closely with the Closing Coordinator and Loan Processing teams to ensure smooth, compliant, and timely closings. A support member of the Operations team, the Transaction Coordinator helps move files from application through funding by completing essential administrative steps, reviewing documentation, supporting compliance requirements, and maintaining accurate records. This role requires strong attention to detail, excellent communication skills, and the ability to thrive in a fast-paced environment. Experience in real estate, title, escrow, or loan processing is preferred.
Summary of Essential Job Functions
• Assist Closing Coordinator with daily file management, ensuring all documentation is complete and accurate
• Support loan processing tasks by collecting underwriting documents, reviewing for accuracy, and following up with clients
• Review core compliance items including EOI, entity documentation, flood verification, title requirements, etc
• Communicate with clients, title companies, account managers, and internal teams to gather required items for closing
• Track outstanding documentation and maintain updated notes in the CRM and Work-in-Progress reports
• Prepare file summaries and document checklists for Closing Coordinator review
• Review title commitments, preliminary HUD/CD drafts, and supporting documents for discrepancies
• Assist in resolving document corrections and clearing minor title or compliance issues
• Monitor incoming emails, requests, and closing updates; ensure timely responses and follow-through
• Perform general administrative duties including document uploads, renaming, filing, and CRM organization
• Partner with Operations team members to improve systems, processes, and workflow efficiency
• Other responsibilities as assigned to support the successful and timely funding of FlipCo loans
Customer Service / Communication
• Maintain a professional, helpful, and energetic attitude in all communications
• Serve as a reliable point of contact for clients and title companies needing status updates
• Proactively communicate missing documentation, deadlines, and next steps
• Work collaboratively with the Closing Coordinator and Operations team to ensure seamless workflow
Compliance & Documentation Support
• Perform early-stage compliance checks such as verifying entity names, insurance coverage, signatures, and document expiration dates
• Assist with ongoing compliance requirements tied to funding and internal policy
• Maintain strict confidentiality when handling sensitive borrower information and financial documents
Minimum Requirements
• 1–2 years of experience in real estate, title, escrow, mortgage processing, or administrative support preferred
• High school diploma required; Associate degree preferred
• Proficiency in Microsoft Office Suite and ability to learn CRM and document management systems
• Strong time management and organizational skills with the ability to meet deadlines in a fast-paced environment
• Highly detail-oriented with strong follow-through and task management abilities
• Excellent written and verbal communication skills
• Demonstrated ability to handle confidential information with discretion
• Ability to work a minimum of 40 hours per week and may require evening/weekend hours
