Summary of Essential Job Functions
• Serve as the primary liaison between FlipCo and title companies to ensure smooth and timely closings
• Review, request, and provide all documentation required by title companies prior to closing
• Prepare closing files and deliver closing instructions; confirm accuracy of all required information
• Review title work, commitments, settlement statements, and entity documentation
• Evaluate contracts, operating agreements, and corporate documents for accuracy and compliance
• Update and manage Work-in-Progress reports, ensuring each file is on track for its scheduled close date
• Review all loan package information to ensure closing documents are accurate and complete
• Monitor receipt of final executed closing documents and review for funding approval
• Initiate the funding process by coordinating closing documents with the Wire Team
• Deliver proactive communication to sales, underwriting, and operations teams regarding closing status
• Perform additional duties as assigned to support a high-performing operations department
Customer Service / Communication
• Maintain a professional, upbeat, and solutions-oriented attitude with title companies, customers, and fellow FlipCo team members
• Develop deep understanding of FlipCo processes to address file-related questions quickly and accurately
• Resolve closing issues proactively and efficiently to keep loans moving toward funding
• Communicate clearly and confidently when coordinating with title closers and internal stakeholders
Closing Management
• Monitor the In-Process Closings queue to ensure documents go out quickly and accurately
• Confirm details on closing requests, validate information, and coordinate with title closers for completion
• Escalate time-sensitive or complex issues to supervisors to avoid delays in funding
Escalations & Quality Control
• Identify errors or discrepancies early and communicate them to the appropriate team member or manager
• Recommend process improvements when recurring issues are identified
• Ensure compliance with internal closing standards, investor requirements, and state-specific regulations
Minimum Requirements
• 2–3 years of experience in title, escrow, real estate closings, or mortgage closing coordination
• Associate degree required; Bachelor’s degree preferred, or equivalent combination of education and experience
• Strong working knowledge of title commitments, settlement statements, closing documents, and loan funding processes
• High proficiency with MS Outlook, Excel, and document preparation systems
• Exceptional organizational, problem-solving, and multi-tasking skills
• Strong judgment with the ability to make sound decisions in time-sensitive situations
• Ability to manage a high-volume pipeline and meet closing deadlines
• High attention to detail and commitment to accuracy
• Strong interpersonal, written, and verbal communication skills
• Ability to thrive in a fast-paced, energetic, team-oriented environment
• Flexibility to support extended hours during peak closing periods
• Ability to work a minimum of 40 hours per week and may require evening/weekend hours
