Purchasing Coordinator
Department: Operations
Reports To: Director of Construction Services
FLSA Status: Exempt (Administrative)
Position Summary
The Purchasing Coordinator plays a critical role in supporting Flintrock’s operational excellence by assisting in procurement activities and maintaining vendor relationships. This position ensures timely and cost-effective purchasing of materials, supplies, and services that align with project timelines and budget goals. The Purchasing Coordinator is a key contributor to Flintrock’s commitment to quality, efficiency, and partnership with suppliers.
Key Responsibilities
Procurement Operations
- Assist in purchasing activities across departments to ensure timely acquisition of materials and services.
- Cross-departmental communication - Collaborate with sales teams to assist with option pricing and with construction teams to resolve issues during the building process.
- Serve as a point of contact for new and existing trade partners (subcontractors/vendors). This includes assisting with recruiting new vendors, setting up their files, and tracking their required documentation, such as insurance.
- Maintain and update purchase orders and vendor records.
- Assist in creating and maintaining budgets for new communities and track cost changes.
- Process job files and other materials for new home starts.
- Ensure compliance with company purchasing policies and procedures.
- Provide general administrative support to the purchasing team and other departments.
- Enter data into enterprise resource planning (ERP) software.
- Assist with the setup of new plans, options, and budgets.
- Research and resolve discrepancies in invoices.
- Generate and maintain various reports (cost savings/vendor performance)
Vendor Management
- Develop and maintain strong relationships with suppliers and subcontractors.
- Resolve discrepancies and issues related to deliveries, invoices, and contracts.
- Assist in sourcing new vendors and qualifying them according to Flintrock standards.
Cross-Functional Collaboration
- Partner with Finance to ensure accurate and timely processing of invoices and payments.
- Work closely with Operations and Project Management teams to align purchasing with project schedules.
- Support internal teams with procurement-related inquiries and training on purchasing systems.
Qualifications
- High school diploma or equivalent is required; previous experience with a homebuilder is preferred.
- Strong negotiation, organizational, and communication skills
- Proficiency in Microsoft Office Suite required, experience in ERPs such as Homefront, Buildpro, Brix, is preferred.
- Detail-oriented with the ability to manage multiple priorities
- Knowledge of residential construction industry preferred
Work Environment & Compensation
- Full-time, on site (no remote work), salaried position with eligibility for performance-based bonuses.
- Target Compensation: starting salary ~ $55,000.

Physical Requirements
