Accounts Payable/Receivable and Payroll Specialist
About the Opportunity
The Accounts Payable/Receivable & Payroll Specialist is responsible for managing the organization’s day-to-day financial transactions, including vendor payments, customer invoicing, and employee payroll. This role ensures accuracy, timeliness, and compliance with all financial and regulatory requirements while providing excellent customer service to both internal staff and external partners.
Specific Responsibilities and Qualifications
· Process vendor invoices, verify accuracy, and ensure timely payment.
· Process monthly benefit payments.
· Reconcile vendor statements and resolve discrepancies.
· Maintain W-9 forms and assist with 1099 preparation.
· Reconcile and upload all cash receipts.
· Ensure journal entries are entered and posted as noted in the APQs.
· Complete State of Michigan sales tax statements monthly
· Monitor accounts payable aging and ensure strong vendor relationships.
· Generate and send invoices to customers/clients.
· Customers included FCCA
· Track payments and follow up on past-due accounts.
· Record deposits and reconcile AR balances.
· Process payroll accurately and on time.
· Weekly and Bi-monthly
· Ensure funding of all invoices including 401k, HSA, FSA.
· Under the direction of the Controller, provide monthly benefit reconciliations
· Health, Vision, Life/STD/LTD/ADD, Vol Life, HSA, 401k and FSA
· Maintain payroll records and ensure compliance with wage/hour laws.
· Handle payroll deductions, garnishments, and benefits withholdings.
· Ensures proper disbursement of IATSE and other union dues based on CBA.
· Assist with month-end and year-end closings and support audit preparation.
· Scan all payroll and vendor docs.
· Additional Duties as assigned.
QUALIFICATIONS/SKILLS REQUIRED
· Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
· 3 years of experience in accounts payable, receivable, and payroll processing.
· Knowledge of GAAP and basic accounting principles.
· Experience with accounting software (MIP, QuickBooks, etc) and payroll systems such as Paylocity.
· Strong attention to detail and accuracy.
· Ability to prioritize tasks and meet deadlines.
· Excellent communication and problem-solving skills.
Compensation and Benefits:
· Pay Range: $46,000 - $52,000
