Job Summary
Working as a Meeting & Hospitality Planner, you are responsible for Guest Services for a Conference Center. You will manage a team of coordinators and receptionists. You will be responsible for ensuring guest’s needs are met with high level of customer services. Additionally, you will be responsible for the following:
Responsibilities:
- Fulfill reservation requests using Reserve (Room Reservation System).
- Handle service inquiries for already booked conference rooms.
- Be aware of event schedule and building activity.
- Assist in preparing pre and post planning meeting files (estimates, diagrams, etc.)
- Conduct planning meetings in the absence of Event Coordinator
- Coordinate orders for additional/outsourced services.
- Act as a liaison for event needs with vendors and other site entities.
- Enforce policies and procedures related to reservations.
- Attend mandatory meetings, trainings, events, and complete in-service curriculum requirements Perform other duties as assigned.
- Assist the Event planner with day-to-day activities and responsibilities as needed. Oversee the day-to-day operation.
- Cross train with staff.
- Event planning experience required
- Professional and friendly interaction with clients under stress.
- Team player mentality, respecting colleagues, sharing workload, and fostering trust.
- Effective multitasking to achieve objectives.
- Enthusiastic, adaptable, and detail-oriented with a focus on successful resolution
- Efficient time management skills
- Effective communication including understanding verbal and non-verbal cues, and active listening.
- Strong interpersonal skills displaying cultural awareness and creating memorable experiences.
- Problem solving abilities with initiative to resolve issues.
- Strong Technical Skills are a bonus.
