Position Summary
Essential Functions and Responsibilities
- Own the end-to-end process of managing company data across all customer portals, including:
- Tracking certificate of insurance expiration dates to ensure documentation remains current and compliant with company standards.
- Reviewing safety compliance requirements with Human Resources as requested by customers.
- Verifying business registration information in BSM platforms to ensure accurate classification and compliance with customer and regulatory requirements.
- Maintaining and auditing bank information for accuracy.
- Collecting and uploading W9 forms to support tax and payment setup.
- Serve as the liaison between departments (Sales, Operations, Finance, Legal, etc.) actively collaborating to gather necessary information, documentation, and data required to maintain accurate and compliant records.
- Monitor portals for updates, notifications, and compliance requests to ensure timely action and completion of required tasks.
- Manage user accounts to centralize access and simplify login processes and permissions.
- Establish and maintain a unified login system to facilitate seamless access for all users.
- Supporting customer onboarding by coordinating portal setup, documentation and access to ensure a smooth transition and positive client experience.
- Track, prioritize, and manage multiple portal tasks simultaneously.
- Develop and maintain a master calendar and tracking system for all portal-related activities, deadlines, and compliance tasks.
- Troubleshoot portal access or data-related issues and work with customer contacts or internal teams to resolve them promptly.
- Identify opportunities and implement measures to streamline and improve internal workflows and improve overall portal management efficiency.
- Prepare and distribute status reports to leadership and relevant stakeholders to provide visibility into portal activity and compliance.
Qualifications and Experience
- High School Diploma or GED; BS degree or additional business certifications preferred
- 2 years of experience in project coordination, customer service, operations, or data management with exposure to BSM (e.g., Ariba, Coupa, etc.).
- Proven organizational and time management skills with the ability to handle competing priorities and meet deadlines.
- Excellent written and verbal communication skills across internal and external audiences.
- High attention to detail and a strong commitment to data accuracy quality.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Ability to learn quickly and navigate various customer portal platforms.
- Strong critical thinking and problem-solving abilities.
- Collaborative mindset with the ability to build effective cross-functional relationships.
Preferred Qualifications:
- 4 years of experience in project coordination, customer service, operations, or data management with exposure to BSM (e.g., Ariba, Coupa, etc.).
- Experience working with large or complex customers that require portal compliance.
- Familiarity with CRM systems or ERP tools.
- Background in industries with heavy portal usage (e.g., manufacturing, distribution, healthcare, government contracting).
- Process improvement or project management experience.
