What you'll do:
As our Payroll Specialist, this position will be managing all aspects of payroll processing, assisting employees with pay questions and reviewing all state taxes. This role ensures proper recordkeeping, verifies timesheets data, performs payroll calculations, and maintains compliance with company policies and government regulations. The payroll Specialist partners closely with HR, Finance, and departmental managers to deliver excellent employee service reporting, and month-end close processes.
Key Responsibilities
- Manage end-to-end payroll processing for all U.S. employees (multi-state payroll).
- Review and validate employee data, timesheets, new hires, terminations, and compensation changes.
- Ensure accurate calculation of wages, overtime, bonuses, commissions, and payroll adjustments.
- Maintain compliance with federal, state, and local payroll, tax, and wage-and-hour regulations.
- Administer payroll tax filings and ensure timely submission of federal, state, and local withholdings via ADP
- Prepare payroll reports and assist with reconciliations, general ledger files, and payroll-related journal entries in partnership with Finance.
- Support month-end and year-end close, including accruals for bonuses and benefits
- Coordinate year-end processing of W-2 forms, tax statements, and employee inquiries.
- Experience with SUI/SDI Taxes (Employment Taxes)
- Partner with HR on employee data accuracy, benefits deductions, and onboarding /offboarding processes.
- Address employee questions regarding pay, deductions, and tax forms in a timely and professional manner.
- Maintain payroll documentation, internal controls, and audit-ready records.
- Ensure confidentiality and security of payroll information.
- Assist with other finance-related projects and ad-hoc requests as needed.
Qualifications:
- 3–7 years of payroll experience in a fast-paced or growing organization.
- Experience processing payroll for hourly and salaried employees, multi-state payroll experience preferred
- Experience processing payroll for exempt and non-exempt employees.
- Strong knowledge of federal, state, and local payroll regulations.
- Familiarity with payroll systems such as ADP, Paycor or Paycom
- Strong analytical and problem-solving skills.
- Excellent attention to detail, accuracy, and organizational skills.
- Strong communication skills and ability to partner with HR, Finance, and employees across the company.
- Ability to handle sensitive information with integrity and confidentiality.
