Job Summary
The Operations Support Specialist plays a key role in maintaining day-to-day operational efficiency across all active metro markets at Flex Moving and Storage. This position is responsible for job scheduling, delivery confirmations, real-time coordination, and communication with field managers and cross-functional partners. The ideal candidate is detail-oriented, thrives in fast-paced environments, and is comfortable managing high-volume workflows across multiple time zones.
This role ensures that all field operations are supported through accurate scheduling, timely adjustments, proactive alerts, and professional communication, contributing directly to service reliability and customer satisfaction.
Key Responsibilities
Scheduling & Coordination
- Manage all job scheduling and updates through the company’s back office system, ensuring data accuracy and efficient asset allocation.
- Coordinate daily delivery routes with Area Manager group for both internal and 3PL drivers, prioritizing time windows, customer needs, and fleet availability.
- Confirm job readiness with customers and Area Managers 4 days in advance of scheduled delivery dates.
- Adjust and reassign jobs in response to operational changes or exceptions (e.g., weather, driver delays, asset shortages).
Operational Monitoring & Alerts
- Monitor job completions in real time and alert the appropriate Area Manager when a job is at risk of delay, missed delivery, or incorrect execution.
- Serve as the point of contact for operations-related escalations during your scheduled shift.
- Log all operational exceptions, missed jobs, and issues in designated reports or Slack channels to ensure accountability and visibility.
Communication & Support
- Maintain continuous communication with Area Managers, Regional Managers, and contractors via Slack, phone, and the scheduling calendar.
- Provide centralized coverage across multiple metros during high-volume periods (1st of month, end of month, weekends).
- Communicate proactively with leadership about staffing, scheduling, and performance issues.
Reporting & SOP Compliance
- Submit daily shift reports summarizing schedule changes, escalations handled, and areas for improvement.
- Participate in SOP updates and workflow refinement led by the Operations Support Lead.
- Ensure all scheduling processes align with Flex’s quality standards and customer experience expectations.
Shift Coverage & Structure
Shifts are:
- Sunday-Wednesday 11a-10p EST
- Wednesday-Saturday 11a-10p EST
- Friday-Monday 7a-6p EST
- All specialists are expected to work on the 1st, last day, and last weekend of each month.
Qualifications and Salary
- 1–3 years of experience in dispatch, logistics, scheduling, or operations support.
- High proficiency with operational systems, scheduling software, or CRM tools.
- Strong organizational and multitasking abilities under time-sensitive conditions.
- Excellent written and verbal communication skills.
- Self-starter with the ability to work independently while maintaining collaboration with remote team members.
- Experience coordinating across time zones or in a multi-location business preferred.
Preferred Skills
- Background in transportation, logistics, or field operations.
- Familiarity with route optimization techniques and scheduling logic.
- Experience using Slack, Google Calendar, and dispatch/back office tools.
- Strong reporting and documentation skills.
