Overview
FixtPT is seeking a reliable, friendly, and organized Front Office / Physical Therapy Aide to support our growing outpatient physical therapy clinics. This positions primary home location will be at our Lawrenceville, GA office, providing both front office and clinical aide support to ensure smooth daily operations and exceptional patient care.
The ideal candidate is adaptable, detail-oriented, a strong communicator, and enjoys working in a fast-paced, patient-focused environment.
Responsibilities include (but are not limited to):
Front Office Duties
- Serve as front office support across
- Answer incoming phone calls and voicemails for all clinics
- Schedule and confirm new patient evaluations
- Contact new patients via call/text to confirm appointments and share clinic information
- Send digital new patient paperwork
- Monitor and respond to patient texts and emails within the EMR and shared inboxes
- Submit insurance authorizations as needed
- Follow up with patients who miss appointments
- Collect and process patient co-pays and insurance payments
- Scan, upload, and maintain patient documents in the EMR
- Review, manage, and distribute faxes, referrals, and medical records
- Contact physician offices to request missing referrals or documentation
- Fax evaluations and progress notes when required
- Open, sort, scan, and process incoming mail
- Schedule follow-up appointments
- Verify and enter insurance benefits into the EMR when needed
- Help maintain a clean, welcoming clinic environment (including stocking snacks, drinks, and supplies)
Other duties may be assigned based on clinic needs
Physical Therapy Aide (Tech) Duties
- Assist patients with prescribed exercise programs under therapist supervision
- Clean and sanitize treatment tables and equipment
- Replace pillowcases and perform clinic laundry
- Ensure therapy supplies are stocked, organized, and readily available
- Return all equipment to proper storage after use
Other duties may be assigned based on clinic needs
Cross-Functional Expectations
- Ability to fill in at different locations if needed for coverage
- Maintain strict HIPAA compliance and patient confidentiality
- Communicate professionally with patients, providers, and team members
- Present a professional appearance and positive attitude
- Attend team meetings and in-service trainings distraction-free
- Flexibility to assist with clinic-specific needs as assigned
- Other duties may be assigned based on clinic needs
Minimum Qualifications
- Ability to multitask in a fast-paced environment
- Strong phone etiquette and customer service skills
- Team-oriented with adaptability and reliability
- Effective time management and organizational skills
- Data entry accuracy and attention to detail
- Knowledge of HIPAA compliance and confidentiality standards
- Clear verbal and written communication skills
- Spanish or Russian speaking preferred, but not required
