Position Title: Accounting Assistant
Reports To: Director of Finance
Position Purposes: The Accounting Assistant is responsible for the financial processing of transactions for Five Horizons Health Services (FHHS). The Accounting Assistant will assist with daily accounting operations for the organization.
· Review Chart of Account (COA), date, class, and description and clear all Accounts Receivables (AR) transactions in QuickBooks Online (QBO) this includes grant payments, refunds, reimbursements, kickbacks, insurance, deposits, and all other funding sources daily.
· Review COA, date, class, and description and clear all Accounts Payable (AP) transactions in QBO by making sure the correct invoice and bill matches the transaction in Bill.com daily and contact the AP Specialist with discrepancies.
· Review COA, date, location, class, memo, receipt, and Purchase Order (PO) form, if needed and synchronize all RAMP credit card transactions to QBO daily.
· Post adjustments received by the Grant Billing Team.
· Complete monthly payroll Journal Entry (JE) and contact the payroll administrator (outside contact) with discrepancies.
· Submit and book monthly invoice for Legal Services of Alabama (LSA) in QBO.
· Complete monthly Employee Benefits Services (EBS) Escrow JE in QBO.
· Complete monthly reconciliation of bank accounts, credit card account (RAMP), Bill.com account, loan and mortgage accounts.
· Collect cash logs from each clinic and Behavioral Health location by the 5th of each month and store on the N Drive by location.
· Complete monthly AR-Insurers (Athena) JE.
· Complete and submit monthly Board Report for review.
· Once monthly Board Report has been approved, complete budget spreadsheet on the N Drive
· Participate in scheduled meetings with Finance Department personnel and company-wide.
· Assist with the annual financial audit, audits from grantors and Worker’s Comp audit as directed by the Director of Finance and Chief Financial Officer.
· Perform other duties as assigned by the Finance Department.
