Job Summary

Responsible for managing travel and expense process, including reviewing and approving reports for compliance, ensuring accounting accuracy, and preparing reconciliations and journal entries. Serves as a liaison to the university community by providing guidance and training, supports financial reporting and accounting operations.

  • Reviews expense reports created in PeopleSoft for compliance with FIU Foundation, Inc. Policies and Procedures and State of Florida Travel Rules and Regulations.
  • Prepare monthly reimbursement request for salary reimbursements that is due to the University and record journal entry. Reviews project purpose and available cash before approving employee expense reimbursements.
  • Verifies all accounting entries are correct and accurate for travel and expense reports created in PeopleSoft.
  • Creates expense report accounting adjustments or journal entries when errors are made or when requested by the Project Budget Officers.
  • Monitor all submitted expense reports and work with the departments to resolve pending items. Send out monthly communications for items pending resolution or approval.
  • Serve as liaison to the University community, addressing travel and expense concerns and inquiries.
  • Provide travel and expense training to the University community to ensure compliance with policies and procedures.
  • Maintains up to date policies and procedures for travel and expense reimbursements.
  • Prepares quarterly reconciliations including but not limited to travel and expense accrual entries, salary reimbursement accruals and analysis of quarterly cash surrender values for life insurance policies.
  • Serve as backup to accountants for Foundation and other DSOs as needed to provide support for the accounts payable, accounts receivable, and journal entry functions.
  • Prepare financial reports, spreadsheets, charts or other special projects requested by the Controller.
  • Responsible for creating and distributing the FIU Foundation quarterly newsletter for the university community.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
  • Accesses confidential financial data including but not limited to salaries, and investment records of all Direct Support Organizations.

Minimum Qualifications

High school diploma or equivalent and three (3) years of accounting/bookkeeping experience; OR an equivalent combination of relevant education and/or experience.
