MarWest Commercial, a division of FirstService Residential, is actively looking for an Office Support Coordinator to join the Accounting team.
The Office Support Coordinator is responsible for supporting the accounting and operations team in various capacities. The position requires an individual who is ambitious, self-directed, and capable of working autonomously or with a broader team to achieve the business and financial goals of the company.
Compensation: $19-22/hr
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Your Responsibilities
- Manages all administrative tasks for the company, including handling incoming and outgoing mail, shipping needs, mail distribution, copying, supply ordering, filing, and scanning.
- Acts as the main contact for fulfilling Escrow Demand requests.
- Provides support for the Compliance Team which oversees vendor verification and setup in the accounting system.
- Assists the Accounting Assistant with cashiering and the preparation of owner documents like welcome packages and new budget packages when needed.
- Assists with administrative tasks during tax season, including packaging tax documents for electronic delivery or physical copies as requested by clients.
- Maintains association tracking schedules and ensures the distribution of monthly reports.
- Plans and coordinates department meetings and events, preparing agendas and materials for distribution.
- Prepares correspondence, reports and materials for signature and distribution
- Handles routing of inbound calls from external customers.
- Assists with the reduction of incoming mail as it relates to vendor invoices
- Participate in special projects as needed & other duties as assigned.
- Prepare and maintain procedures for specific job duties.

- Maintains highest degree of confidentiality in all matters
- Strong interpersonal and organizational skills with the ability to manage multiple priorities
- Knowledge of Microsoft Outlook, Word, and Excel
- Excellent accuracy and attention to detail
- Organized and excellent multi-tasking skills
- High school diploma
- Must possess strong written and verbal communication skills, including exceptional telephone management and the ability to write emails
- Minimum of 2 years of experience in a support role
