Job Summary
The role is a key role providing foundational support to the team and clients in the local business unit through a time of turbocharged growth. The Office and Start-Up manager is accountable for setting and maintaining the standards for office operations, as well as passionately influencing the team in delivering operational excellent in service delivery to clients and residents. The role is responsible for supporting business unit service excellence through ensuring the effective onboarding of new clients, and onboarding of new Community Association Managers in partnership with local and market leadership teams.
Essential Duties & Responsibilities
- Perform all assigned duties for the onboarding of new clients to deliver an exceptional new client experience – duties are inclusive of standard start-up coordinator items as well as management items, as determined by the VP and in alignment with the market Manager, New Client Onboarding.
- Set the tone for culture and service at the reception desk – this role's assigned workstation.
- Manage and coordinate the daily operation of the office including receiving guests and monitoring phones. Maintain inventory and order office, cleaning and maintenance supplies. Troubleshoot and coordinate maintenance and repair of office equipment. Serve as contact person and Liaison with key vendors.
- Facilitate key systems training, lunch-and-learn curriculum, and team meetings and training events. Track and report on talent development programs for the whole of the market team.
- Receive, process, code and submit approved check requests to corporate Accounts Payable department for payment processing. Identify and research variances and reconcile accounts including communication with vendors and Accounts Payable. Print emergency vendor checks at the request of Client Accounting AP.
- As assigned, provide CAM coverage to clients for limited periods.
Additional Duties & Responsibilities
- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
Supervisory Responsibility
Local supervision of Resident Support Services team member(s) reporting to Manager, Client Services out of South Region Headquarters.
Education & Experience
Licensed Community Association Manager – LCAM required – candidates in process may be considered. Associate's Degree in Business or related field from an accredited college or university and three to five years related experience; or equivalent combination of education and experience.
