Church Office Administrator
This position will become available at the First United Methodist Church Westfield in Spring/Summer 2026.
Job Description
This position will serve as the main contact of the FUMC Westfield church office and will report directly to the Senior Pastor. Candidates must be able to satisfy the required qualifications of this role. Those who do not fully meet the preferred qualifications are still encouraged to apply.
Required Qualifications
- Strong communication, interpersonal, and organizational skills
- High proficiency in Google software and MS Office Suite including Word, Excel, and Powerpoint
- Proficiency in general computer skills with experience using cloud-based computer applications
- Familiarity with MailChimp, Squarespace, and Shelby (or willingness to learn)
- Detail-oriented and self-motivated
- Demonstrates confidentiality, discretion, and compassion
- Ability to work professionally and independently without supervision
- Availability to work during defined hours: Monday-Friday, 4 hours/day, 20 hours/week
- Availability to attend staff meetings that may be held outside of regular working hours
Primary Responsibilities
- Report to the FUMC Westfield Senior Pastor and attend quarterly staff meetings
- Handle receptionist duties: schedule appointments, screen and route incoming calls, and receive visitors (contractors, vendors, etc.) during working hours
- Distribute mail to appropriate personnel
- Receive checks/bills/invoices and distribute appropriately
- Organize and maintain files for the church
- Oversee the church calendar
- Create and prepare bulletins and weekly emails for the church
- Maintain, organize, and edit existing church communications
- Collaborate and coordinate intra-congregational communications with the church ministries and committees to help streamline schedules, goals, activities, documents (Google Docs), and support timelines
- Notify the Senior Pastor of news/information received, including prayer requests, hospitalizations, deaths, surgeries, births, etc.
- Type correspondence, reports, and any other items needed by the Senior Pastor and Church Conference office
- Arrange meetings and appointments for the Senior Pastor
- Make reservations for the use of church facilities and communicate with outside organizations who regularly use the church, in coordination with the Trustees
- Purchase and maintain all office and maintenance supplies
- Willingness to work with local media sources, print and digital media, email, web-based and social media sources to promote church events and news. This promotional content may include mission/service projects, stewardship stories, updates related to church committees/operations/small group ministries, district/conference events, special worship schedules, educational opportunities, and sermon/devotional content.

Preferred Qualifications
- Communications and/or marketing experience
- Strong verbal and writing skills, with an understanding of current trends in the digital, marketing, and/or communications industries
- Website management skills
- Experience with Squarespace and blog creation
- Basic/Intermediate graphic design skills
- Basic video editing skills
- Ability to align communications output with our current church identity statement and long-term vision of FUMC Westfield and the greater United Methodist Church
- Ability to produce and distribute new communications that can be distributed within and outside of the church
- Openness to new ideas and creative solutions that could enhance overall church communications within and outside of the church community
- Creatively drive traffic to the church website and build followings on digital media channels including, but not limited to: video/audio/photo links, podcasts, YouTube, blog posts on WordPress, and various social media platforms, such as Facebook, Twitter, and Instagram
Work Environment & Schedule
- Part-time position, Monday-Friday, typically requiring 20 hours per week
- Onsite at the church office
- Reports to the Senior Pastor and FUMC Westfield Board
Compensation & Benefits
- Salary is commensurate with experience and ability to fulfill qualifications
- Anticipated range: $20-25 per hour.
- Paid vacation, holidays, and sick days.
