Position Summary:
The Administrative Coordinator is a vital position responsible for the smooth daily operation of the church’s administrative offices. This role includes reception duties, communication coordination across ministries, office management, volunteer coordination, event preparation, and serving as the administrative assistant to the Senior Pastor. Maintaining confidentiality, professionalism, and relationship-building excellence are essential to success in this role.
Key Responsibilities:
Office Duties
- Open office each morning and greet visitors with a warm, professional demeanor
- Answer phones, receive and sort mail, distributing to appropriate recipients
- Manage office supplies and equipment within budget, including annual budget input for procurement
- Maintain leadership committee contacts using Mission Connect software
- Aid church committees with mailing lists and labels as needed
- Complete annual conference reporting requirements
- Provide administrative assistance to the Senior Pastor
Communications
- Prepare weekly worship bulletins
- Update weekly prayer list with prayer team coordinator
- Publish monthly church newsletter and assist with website updates and weekly email communications
- Support social media posts when needed
- Prepare direct mailings from the Senior Pastor’s office
- Create postcards for memorials, honorariums, and acknowledgments
Facility & Event Coordination
- Oversee church security needs: issue access cards, program door access, set alarm codes and building temperatures through online systems
- Coordinate room setups and takedowns with facilities and custodial teams for events
- Facilitate volunteer coordination for ministries and event staffing
- Manage church sign-ups (online and in-person)
- Show and reserve building spaces; maintain rental calendar, arrange security for rentals, and handle related fees
- Distribute attendance sheets for Sunday school and small groups
- Assist with funeral service preparations and orders of worship
- Support special worship events and church functions
Qualifications:
- Preference for knowledge of church operations and United Methodism
- Positive, professional, warm, and welcoming presence
- Strong verbal and written communication skills
- Ability to work autonomously and handle sensitive information confidentially
- Proven relationship-building skills with staff, congregation, and visitors
- Proficiency in Adobe, Microsoft Office Suite, Publisher, Canva, and Church Data Management programs is a strong plus
