We are currently seeking a Service Coordinator / Dispatcher who thrives in a fast-paced environment and enjoys keeping teams organized and customers informed.
Position Summary: The service coordinator is responsible for managing daily schedules for service technicians and plumbers, dispatching technicians as service calls are completed, and coordinating return visits when parts arrive. This role plays a critical part in maintaining efficient operations and delivering outstanding customer experience. The service coordinator reports directly to the service manager.
Key Responsibilities
- Answer incoming customer calls and schedule service appointments
- Coordinate and dispatch service technicians throughout the day
- Create and manage dispatch tickets, update the dispatch board
- Forecast workload 2-3 days in advance
- Update customer records and maintain customer database
- Sell and manage Club Memberships, including billing, renewals, scheduling, and records
- Place orders for special-order parts
- Conduct "happy calls" to ensure customer satisfaction
- Maintain technician bag supplies (flyers, forms, checklists, etc.)
- Assist the service manager with marketing tasks as directed
- Backup installation coordinator when needed
- Assist in training call takers and writing scripts and procedures
- Perform additional duties as assigned

Compensation: $20 - $25 per hour depending on experience
Work Hours: 8 am to 5 pm, Monday through Friday, occasional overtime as needed
Required Qualifications
- High school diploma or equivalent
- Minimum 2 years of experience in customer service, dispatching, project coordination, or a mix of those
- Prior experience in the HVAC or plumbing industry is strongly preferred
- Dispatching experience within HVAC, plumbing, or a similar industry is a plus
- Excellent customer service, communication, and interpersonal skills
- Strong organizational and multitasking abilities in a fast-paced environment
- Proficiency with computers and mobile technology
- Ability to read maps and understand service territories
- Must be detail-oriented with the ability to manage multiple tasks accurately
- Team-focused mindset with a professional and reliable work ethic
