Position Summary:
The Court Reporter Relations Manager is responsible for building, maintaining, and optimizing First Legal’s nationwide network of stenographic and digital court reporters. This role ensures consistent coverage, strong relationships, quality performance, and operational alignment across all markets. The ideal candidate is relationship-driven, highly organized, responsive, and deeply familiar with the court reporting industry, including rate structures, regional market dynamics, and the needs of both reporters and clients. This position plays a critical role in First Legal’s ability to support high-volume clients by ensuring reliable reporter availability, adherence to standards, and proactive communication with both internal teams and the reporter community.
Job Duties:
- Identify, recruit, and onboard qualified stenographic, digital, and real-time court reporters nationwide.
- Expand coverage in strategic markets and for specialized job types (technical experts, arbitrations, multitasking, hearings).
- Maintain an active pipeline of new reporters to support company growth and new client acquisitions.
- Serve as the primary liaison between First Legal and its reporter network.
- Build long-term relationships based on responsiveness, transparency, and mutual trust.
- Conduct regular check-ins with high-volume and high-value reporters to ensure satisfaction and engagement.
- Develop programs that strengthen loyalty and retention.
- Monitor reporter performance, including timeliness, transcript quality, professionalism, and fulfillment rates.
- Address performance issues proactively and provide coaching or corrective action as needed.
- Partner with Production and Scheduling to resolve concerns related to late transcripts, coverage challenges, or reporting quality.
- Maintain accurate rate profiles for each reporter, ensuring alignment with market conditions and company margin requirements.
- Negotiate rates with reporters
- Collaborate with Billing and Finance to resolve discrepancies, incentives, or special rate considerations.
- Work with the Scheduling and Calendar teams to ensure adequate reporter coverage for last-minute, expedited, multi-party, and VIP assignments.
- Identify patterns in coverage gaps and develop strategic solutions to improve availability.
- Track monthly and quarterly coverage metrics and recommend improvements.
Job Qualifications:
- 3–5 years of experience in court reporting operations, reporter management, scheduling, or litigation support.
- Strong understanding of stenographic and/or digital reporting, transcript production workflows, and industry rate structures.
- Excellent relationship-building, negotiation, and communication skills.
- Highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
- Proficient in scheduling platforms, CRMs, and operational software (Solaria, RB9, YesLaw, Threadeo, etc.).
- Experience working with a national or multi-office court reporting agency.
- Understanding of enterprise client expectations and complex litigation requirements.
- Ability to analyze KPIs and reporting data to drive improvements.
