Job Purpose
The Deposit Operations Support Manager serves in a key dual-capacity role within the Deposit Operations Department. The position maintains a strong focus on internal controls, regulatory compliance, risk mitigation, customer service excellence, and staff cross-training and development.
Essential Functions And Responsibilities
- Reconciling control accounts daily to identify, research, and resolve out-of-balance items.
- Reviewing and clearing exception items.
- Processing returned items (checks and ACH), incoming and outgoing Federal Reserve cash letter adjustments.
- Preparing, reviewing, and/or approving domestic and international wire transfers.
- Handling service messages, wire returns, investigations, and exception processing.
- Maintaining required wire logs, documentation, and segregation of duties controls.
- Review daily, weekly, and monthly operational reports (account maintenance, unusual or suspicious activity, inactive and dormant accounts, holds and restrictions).
- Take appropriate action to mitigate risk and ensure compliance.
- Ensure adherence to all applicable banking laws, regulations, and internal policies.
- Assist with compliance monitoring, audit preparation, and review of internal control procedures.
- Review and update operational control procedures as necessary to strengthen risk mitigation.
- Support internal and external audits and assist with remediation efforts.
- Perform Custodian of Records duties, including researching, reviewing, and providing legally requested documentation.
- Administer processes related to the Bank’s FDIC participation programs (new account setup, transaction and renewal processing, client notices and statement distribution).
- Provide support for all debit and credit card processes (card ordering and maintenance, instant issuance, troubleshooting and customer support, balancing and reconciliation, dispute processing and resolution)
- Communicate status updates to customers and management within established service level agreements (SLAs).
- Provide secondary oversight of daily workflows and assist in prioritizing departmental tasks.
- Collaborate with the Deposit Operations Officer to identify training needs and coordinate cross-training initiatives.
- Provide or coordinate training to ensure operational coverage across all functional areas.
- Assist in maintaining and updating the Deposit Operations Manual.
- Support the ongoing review and enhancement of policies and procedures.
- Deliver innovative and customer-focused solutions to support service excellence.
- Provides the best service to our customers with innovative and creative solutions.
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Finance, Business Administration, Accounting, or related field preferred.
- Minimum of two (2) years of experience in deposit operations or related banking operations required.
- Experience with wire processing, ACH, exception processing, debit/credit card operations, or account reconciliation preferred.
- Prior experience assisting with audits, compliance monitoring, or operational controls preferred.
- Supervisory or leadership experience is a plus.
- Broad knowledge of financial institution deposit operations procedures and workflows.
- Understanding of banking regulations related to deposit operations, ACH, wire transfers, Reg CC, BSA/AML, and FDIC programs.
- Familiarity with internal controls, segregation of duties, and risk management practices.
- Basic knowledge of accounting principles and reconciliation processes.
- Strong organizational and time management skills with the ability to prioritize competing deadlines.
- Analytical and problem-solving skills with attention to detail and accuracy.
- Strong research skills to resolve discrepancies and investigate exceptions.
- Effective written and verbal communication skills.
- Proficiency in Microsoft Office applications, particularly Word and Excel.
- Learn and utilize core banking systems and related operational platforms.
- Work effectively in a deadline-driven, fast-paced operational environment.
- Maintain confidentiality and exercise sound judgment.
- Collaborate across departments and provide leadership support.
- Adapt to regulatory changes and evolving operational requirements.
- Extended periods of sitting and computer work may be required.
