Starting/Hiring Pay Range: $26.00/hr -$27.00/hr


Job Summary:

The Office Assistant is a versatile, hands-on role that keeps FIRC running smoothly behind the scenes. This position provides direct operational support to the senior leadership team, manages day-to-day building and facilities needs, and serves as front desk coverage when the Intake Coordinator is unavailable. The ideal candidate thrives in a dynamic environment, moves comfortably between tasks, and brings a proactive, service-minded approach to everything they do. This role does not supervise other staff. The Office Assistant works collaboratively with the Intake Coordinator to ensure seamless front-desk coverage and client service.

What Makes a Successful Candidate

The right person for this role is someone who genuinely enjoys variety in their work. You might spend a morning scheduling a contractor, an afternoon covering the front desk, and an hour in-between ordering supplies or supporting a director with an upcoming event. You anticipate what's needed before being asked, you don't need to be told twice, and you follow through. You see the big picture and understand that every task, big or small, contributes to the mission. For front desk coverage to work well, you'll also need to get comfortable with the basics of Salesforce and FIRC's internal and community resources — not because you're an Intake Coordinator, but because clients deserve continuity no matter who's at the desk.


Primary Responsibilities

Senior Leadership Support

  • Provide direct administrative support to all senior leaders, including scheduling, communications, meeting coordination, expense reporting, and follow-up on action items.

  • Assist with the preparation of materials for meetings, trainings, and staff communication and events.

  • Help organize and manage third-party vendor contracts, agreements, and invoices.

Front Desk Coverage

  • Provide daily front desk coverage during the Intake Coordinator's breaks and lunch, and step in as needed for vacation or unplanned absences.

  • Answer phones, greet clients, assist with basic intake needs, and deliver warm, professional customer service — connecting clients to the appropriate services or staff consistent with FIRC's mission.

  • Although this position is not an Intake Coordinator, this role requires familiarity with basic Salesforce functions and FIRC's internal and community resources to provide effective coverage.

Facilities & Operations

  • Coordinate day-to-day maintenance, supplies, and upkeep across all FIRC locations, including the Sol Center in Breckenridge and the Dillon Food Market.

  • Serve as the primary point of contact for routine building needs such as trash pickup, landscaping, snow removal, and shredding services.

  • Coordinate van maintenance scheduling, keep accurate records of service history, and drive the van to required service appointments as needed.

  • Address unexpected building or facilities issues as they arise, including occasional needs outside of standard office hours.

  • Submit invoices, check requests, and credit card expenses to Accounting on time for all operations-related activities.

  • Manage contractor and vendor relationships for special projects, repairs, or required services.

  • Keep all office spaces organized, stocked, and clutter-free.

  • Retrieve, sort, and distribute FIRC's incoming mail and outgoing correspondence, if needed.

  • Run errands and provide logistical support as needed throughout Summit County.

Community & Special Projects

  • Coordinate and support community-facing special projects such as Thanksgiving To Go, Adopt an Angel, coat drives, and similar initiatives.

  • Assist various FIRC teams with events, efforts, and related tasks as needed.

  • Other duties as assigned. Job responsibilities may evolve based on organizational needs.


Qualifications

Required:

  • High school diploma or GED.

  • Minimum one year of experience in operations, office administration, facilities coordination, or a related field.

  • Strong organizational skills and the ability to manage multiple priorities simultaneously.

  • Comfortable pivoting between tasks that vary widely in scope and nature.

  • Proficient in computers and Microsoft Office Suite (Word, Excel, Outlook, Teams).

  • Strong written and verbal communication skills in English and Spanish.

  • Valid driver's license with clean driving record, and reliable, year-round transportation and appropriate insurance.

  • Candidates may be subject to a background check post-offer of employment, and an MVR check pre-offer of employment.

Preferred:

  • Experience working in a nonprofit or human services environment.

  • Familiarity with Summit County and surrounding areas.

  • Experience in a customer-facing or client-services role.


Physical Requirements

  • Use of hands to handle, feel, grasp, and operate objects and tools, and reach and lift with hands and arms.

  • Able to lift up to 50 lbs., including office supplies, facilities materials, and other operational items.

  • Hand-eye coordination necessary to operate computers and various pieces of equipment.

  • Frequently required to sit, stand, and walk, including remaining on feet for extended periods during front desk coverage.

  • Ability to move throughout multiple office locations and facilities on a regular basis.

  • Ability to drive and operate a company vehicle safely.

  • Occasional outdoor exposure when addressing building or grounds needs, such as during vendor walkthroughs or snow removal coordination.
