Job Title: Intellectual Property Legal Assistant
Location: Madison, WI (Hybrid – 3 days in office, 2 days remote)

Overview:
We are seeking a highly organized Legal Assistant to join our Intellectual Property (IP) practice group. This is an exciting opportunity to provide administrative and legal support to multiple attorneys and legal professionals working in patent law, trademark law, and other intellectual property matters.
The ideal candidate will have strong attention to detail, excellent communication skills, and proven experience in legal document preparation, docket management, and client coordination.
Key Responsibilities:
- Prepare, proofread, revise, and save legal correspondence and documents for attorneys.
- Assist with client billing, including time entry, proofreading invoices, and coordinating with accounting.
- Provide administrative support to attorneys, paralegals, and legal assistants within the IP group.
- Open and manage new files using Aderant and Foundation IP software.
- Prepare and send engagement letters for new clients.
- Organize and maintain case files, scan and distribute mail, and save emails to NetDocs.
- Assist with USPTO filings, docket reporting, and reminders for attorneys.
- Prepare formal IP documents, including Application Data Sheets, IDSs, Declarations, Powers of Attorney, Assignments, Issue Fee Transmittals, and related transmittal letters.
- Assist with expense reports, payment requests, and vendor invoice processing.
Qualifications:
- Associate degree, high school diploma, GED, or industry-specific certification.
- Previous experience as a Legal Assistant, Paralegal, or Legal Secretary (IP experience preferred but not required).
- Strong organizational and multitasking skills in a fast-paced legal environment.
- Exceptional attention to detail in proofreading and legal document preparation.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and legal software platforms (case management systems, e-filing platforms, document management systems).
- Ability to handle confidential and sensitive information with discretion.
- Problem-solving mindset with the ability to anticipate attorneys’ needs.
Hybrid Work Model:
- On-site: 3 days/week
- Remote: 2 days/week (after onboarding period)
- New hires: On-site full-time for the first 4–6 weeks
