We are seeking a detail-oriented individual with significant experience processing payroll for 100 or more hourly employees and a strong understanding of accrual accounting principles. This role is responsible for ensuring accurate, timely payroll processing while supporting accounts payable and accounts receivable functions. In addition, this position provides executive assistance support to the CEO, helping manage scheduling, communications, and strategic administrative priorities. The ideal candidate is highly organized, deadline-driven, discreet, and comfortable operating in a fast-paced environment that requires both technical accuracy and professional executive-level support. 

 

Schedule: 

Monday-Friday, 9 A.M.- 5 P.M.; Full-Time, Exempt

 

Key Responsibilities:


Payroll: 

  • Process bi-weekly payroll for 100 hourly employees, ensuring accuracy of hours, rates, overtime, and deductions
  • Review and audit time reported, resolve discrepancies, and coordinate corrections with supervisors
  • Ensure compliance with federal, state, and local wage and hour laws
  • Ensure accuracy of payroll taxes, benefits deductions, and respond to payroll-related inquiries
  • Prepare payroll reports, upload payroll journal entries into the accounting system to include accruals, and support payroll audits as needed 

 

Accounts Payable & Accounts Receivable: 

  • Enter and process vendor invoices on accrual basis, corporate credit card transactions and employee reimbursements
  • Assist with vendor inquiries in a timely manner
  • Generate customer invoices and track outstanding receivables
  • Maintain vendor W9 records and assist with year-end 1099 reporting
  • Assist with reconciliations related to payroll, AP, and AR as well as accruals.


Executive Support to the CEO:

  • Provide executive assistance to the CEO, including calendar management, meeting coordination, and scheduling
  • Process and reconcile the CEO’s expense reports, ensuring accuracy and compliance with company policy
  • Support strategic initiatives by tracking deliverables, preparing reports, and organizing project materials
  • Assist with preparation for board meetings, leadership meetings, and strategic planning sessions as needed
  • Maintain strict confidentiality when handling executive-level and company-sensitive information 


Minimum Qualifications:

  • Associate degree in Accounting, Finance, or related field, or equivalent work experience
  • 2 years of payroll processing experience for 100 hourly employees
  • Working knowledge of payroll systems (ADP, Paychex, QuickBooks Payroll, UKG, or similar)
  • Experience with Sage Intacct or similar accounting software
  • Strong understanding of wage and hour laws, overtime calculations, and payroll best practices
  • Proficiency in Microsoft Office/SharePoint with strong Microsoft Excel skills
  • Excellent attention to detail and ability to meet strict payroll deadlines
  • Strong written and verbal communication skills
  • Demonstrated ability to handle highly confidential information with discretion
  • Strong organizational skills with the ability to manage competing priorities 

 

Preferred Qualifications:

  • Experience with multi-state payroll
  • Familiarity with payroll tax filings and year-end reporting (W-2s, etc.)
  • Experience supporting AP/AR in a mid-sized organization
  • Prior experience providing executive-level administrative support 


Compensation Package:

  • Base Salary: $55,000 – $65,000 annually
  • Benefits & Additional CompensationHealth, Dental, and Vision Insurance: Available after a 60-day waiting period; FINE covers up to 50% of the employee premium
