Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical tasks to ensure an efficient work environment.
- Manage schedule coordination for staff, appointments, meetings, and events through effective calendar management.
- Supervise administrative staff and provide training & development opportunities to enhance team performance.
- Handle vendor management by negotiating contracts, maintaining relationships, and ensuring timely delivery of supplies and services.
- Coordinate event planning activities for company functions, client meetings, or community outreach efforts to boost engagement and visibility.
- Oversee human resources functions such as payroll processing using QuickBooks or similar software, employee onboarding, and maintaining personnel records.
- Manage office budgets, bookkeeping tasks, and expense tracking to ensure financial accuracy and accountability.
- Support medical or specialized office management tasks if applicable, including compliance with relevant regulations.
- Maintain excellent communication with clients and team members through phone etiquette and professional correspondence.
- Assist in sales efforts by engaging potential clients, promoting services, and supporting marketing initiatives to grow the business.
Experience
- Proven supervising experience in an office or administrative setting with demonstrated leadership skills.
- Strong background in office management including clerical experience, bookkeeping, and calendar scheduling.
- Familiarity with QuickBooks for payroll processing and financial recordkeeping.
- Experience in event planning, vendor negotiations, and managing multiple priorities efficiently.
- Prior human resources experience involving employee onboarding, training & development, and payroll administration.
- Knowledge of medical office management or specialized fields is a plus but not required.
- Excellent organizational skills combined with effective communication abilities to foster teamwork and client relations.
- Hands-on experience with front desk operations, multi-line phone systems, filing systems, and general administrative duties.
