Project Accounting Specialist
Location: San Jose, CA
Job Type: Full-Time, Hourly, Non-Exempt
Pay Range: $29.00 – $35.00 per hour, depending on experience and open to negotiation
About the Role
We are seeking a detail-oriented Project Accounting Specialist to join our Accounting Department. This role is responsible for preparing and sending project billings, maintaining billing records, tracking invoice status, entering timesheets, and supporting weekly project reporting.
This position is a strong fit for someone who is organized, consistent, comfortable working with numbers, and able to follow up with team members when information is missing. The ideal candidate will have experience with project billing, construction accounting, QuickBooks Online, and Excel.
Key Responsibilities
- Prepare and send progress billings
- Prepare and send AIA billings
- Prepare and send retention billings
- Prepare and send change order billings
- Confirm billing backup is in place, including signed contracts, approved change orders, and customer approvals
- Track invoice status after billing
- Follow up with Production for missing billing information
- Develop and maintain weekly project reports
- Track job costs using QuickBooks Online and Excel
- Enter timesheets for job cost tracking
- Maintain organized project billing records and supporting documentation
Qualifications
- Prior accounting, billing, or administrative experience required
- Construction accounting or project billing experience preferred
- Experience with QuickBooks Online preferred
- Strong Excel skills preferred
- Ability to work accurately with job numbers, contract amounts, retention, and change orders
- Strong attention to detail and follow-through
- Ability to communicate professionally with internal team members and customer accounting contacts
- Ability to stay organized and meet recurring billing and reporting deadlines
- Spanish is not required, but is a plus
Ideal Candidate
The ideal candidate is dependable, consistent, and comfortable working in a fast-paced construction office environment. This person should be able to manage recurring billing tasks, follow up on missing information, and maintain accurate project records with minimal supervision once trained.
Schedule
Full-time, Monday through Friday.
Compensation & Benefits
Pay range is $29.00 – $35.00 per hour, depending on experience. Benefits, available plans, and additional employment details will be discussed during the interview process.
