We are seeking a highly organized and motivated Executive Assistant to support our corporate office in Manassas VA. The Executive Assistant provides high-level administrative and operational support in a fast-paced environment, working closely with a multi-leadership team to ensure seamless coordination and exceptional organizational efficiency. This role is responsible for managing daily workflows, maintaining accurate records, coordinating schedules, and leading special projects from planning through execution. The ideal candidate is proactive, highly organized, and detail-driven, with outstanding communication skills and the ability to anticipate team needs.
Key Responsibilities: (But not limited to)
- Maintain and organize inboxes, calendars, schedules, and communication channels for multiple leaders.
- Coordinate and manage appointments, meetings, and tasks; prepare agendas and draft accurate, timely meeting minutes.
- Maintain and update files, digital forms, databases, and communication logs to ensure accessible, reliable records.
- Lead and manage special projects, ensuring strategic planning, coordination, and flawless execution to achieve desired outcomes.
- Refine, maintain, and improve internal checklists, SOPs, and operational processes in collaboration with the operations manager.
- Monitor recurring operational tasks, including rental extensions, renewals, and other cyclical responsibilities.
- Track business filings and maintain a schedule of required deadlines and compliance with due dates.
- Anticipate the needs of a multi-leadership team, providing proactive support to maintain smooth daily operations.
- Perform basic data analysis to support reporting and informed decision-making.
- Maintain and audit contracts, ensuring accuracy, compliance, and proper documentation.
Required Skills & Qualifications:
- 3–5 years of Executive Assistant or senior administrative support experience, ideally supporting C-suite or senior leadership.
- Expert-level proficiency in Microsoft Outlook and advanced skills in Microsoft Office (Word, Excel, PowerPoint).
- Strong customer service orientation with the ability to interact effectively with administrators, staff, and external partners.
- Excellent written and verbal communication skills.
- Exceptional attention to detail, with a strong emphasis on accuracy and consistency.
- Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
- Strong organizational, analytical, and problem-solving abilities.
- Bachelor’s degree in business administration, Communications, or related field a plus.
