Program Resource Specialist/HR Staffing Assistant
The Program Resource Specialist (PRS) provides operational support for the Program Innovation department. Under the guidance of the Program Resource Manager (PRM), the PRS supports departmental processes that enable the portfolio to adapt and grow in response to organizational and partner needs.
This role focuses on supporting program staffing workflows, coordinating candidate and onboarding processes, and maintaining systems that track program resource activity. The PRS works closely with program leadership and hiring managers to help facilitate efficient and timely staffing efforts, efficient internal operations and positive staff experience.
Responsibilities
1. Support program resource planning and staffing coordination needs across public health programs.
2. Maintain and update tools used to track staffing needs, workforce trends, and pipeline activity.
3. Partner with program leadership and hiring managers to support staffing processes, including candidate review coordination, interview facilitation, and onboarding activities.
4. Support candidate-related logistics by organizing materials and scheduling discussions as needed.
5. Assist with development and updates of department SOPs related to onboarding, offboarding and staff engagement.
6. Support logistics for onboarding, offboarding, and interview scheduling.
7. Participate in special projects and other operational initiatives as assigned.
Qualifications
1. Bachelor’s degree from an accredited college or university required.
2. Experience supporting workforce coordination, staffing processes, or program resource operations.
3. Experience maintaining tracking systems and operational workflows.
4. Familiarity with applicant tracking systems or project management tools (e.g., Smartsheet, ADP, Lever) is a plus.
5. Highly detail-oriented, able to manage multiple priorities, and work effectively across teams.
6. Strong technical skills including word processing, spreadsheets, and database management.
7. Excellent written and verbal communication skills.
8. Outstanding interpersonal and teamwork skills; collegial; energetic; and able to develop productive relationships with colleagues and partners.
9. Ability to handle confidential information with discretion and professionalism.
