The Role
FSAC is a fast-paced, high-volume infertility and surgical medical office located in Thousand Oaks. We are seeking a friendly, organized, and detail-oriented Patient Services Representative to join our close-knit team of four members. You’ll be a vital part of the patient experience from the moment someone walks through our doors or picks up the phone — and your warmth, accuracy, and professionalism will make a real difference in some of the most meaningful moments of our patients’ lives.
The ideal candidate is a fast learner who thrives in a high-demand, patient-facing environment, is comfortable rotating between front desk check-in and switchboard duties, and brings strong computer skills and attention to detail to everything they do.
What You’ll Do
- Answer and direct high-volume phone calls with professionalism and warmth
- Schedule patient appointments and coordinate surgery scheduling and authorizations
- Take accurate messages and relay them promptly to the appropriate staff
- Prepare charge slips and accurately document patient charge tickets
- Pull, file, and manage patient charts
- Handle general office tasks including filing, faxing, copying, and scanning
- Assist medical and administrative staff with day-to-day operations
- Maintain strict patient confidentiality and ensure HIPAA compliance at all times
- Provide exceptional customer service to every patient and visitor
- Rotate between front desk check-in and switchboard responsibilities as needed
What We’re Looking For
- High School Diploma or higher
- Minimum 2 years of experience in a medical office setting preferred
- Experience with medical records and surgery scheduling highly preferred
- Proficient in medical office software and EHR systems
- Strong computer skills with high attention to detail
- Excellent verbal and written communication skills
- Ability to problem-solve and use sound judgment in a fast-paced environment
- A reliable team player who works well in a small, collaborative department
Schedule
This is a full-time, in-person position. Shifts are 8 hours, with start times between 7:00 and 8:00 AM depending on daily patient load. Weekend availability is required for 1–2 Saturdays per month, typically half-days.
