About the Role
A well-established insurance and financial services marketing organization is looking for an Office Coordinator to keep their office running day to day. This is a small, tight-knit support team — an Office Manager, a Team Lead, and two coordinators — and this position is a backfill for a team member moving into another role internally. The team rotates responsibilities based on what the day brings, and they're the true catch-all for the office: the people who keep the building running and make sure everything and everyone gets where it needs to go.
What You'll Do
- Cover the front desk and answer incoming phone calls — this company places real value on having a live person answer the phone
- Route incoming calls to the right internal team, which means asking the right questions and reading between the lines to figure out what the caller actually needs
- Greet and welcome visitors
- Monitor the general company inbox and route incoming emails to the appropriate departments
- Sort and distribute incoming mail across departments, and handle outgoing shipping and overnight packages
- Keep office and kitchen supplies stocked
- Support company events — leadership plans them, and this team handles setup and on-site facilitation
- Move materials between the company's two nearby buildings throughout the day
- Take on a wide range of additional day-to-day tasks as they come up
What We're Looking For
- Strong verbal communication and a friendly, professional phone presence
- Ability to listen actively and figure out where a caller needs to go, even when they don't say it directly
- Comfort with variety and interruptions — no two days look exactly the same, and priorities shift
- Dependability and punctuality, since the front desk needs coverage when the office opens
- Willingness to be physically active during the day, including moving items between buildings
- A helpful, roll-up-your-sleeves attitude — this team is the office's catch-all
- No degree required, and no industry experience necessary — full training provided
Schedule
- 100% on-site, 5 days per week
- Monday–Thursday: 8:30 AM – 5:30 PM | Friday: 8:30 AM – 5:00 PM
