Position Summary:
The Accounting Administrative Coordinator is responsible for assisting the overall operations of the accounting department and serves as a liaison between the accounting staff and department personnel or external clients. The Accounting Administrative Coordinator will also assist the accounting department handling invoices, payments, and track receipts. This role will also perform clerical duties such as filing, faxing, answering phone calls and responding to emails.
Duties and Responsibilities – Essential Functions
- Support the Accounting Department including Accounts Payable and Receivables
- Process customer’s information to establish payment terms
- Assist with processing company expense reports through Concur
- Assist with processing Purchase Orders for general company expenses
- Coordinate with other departments to facilitate internal established processes
- Ensure posting of direct debit/ACH and credit card transactions daily
- Assist with accounting special projects
- General administrative support including filing, scanning, and mail
- Provide relief and lunch fill in for reception at Showroom as needed
- Performs other duties as assigned
Job Specifications
Education
- High School/GED required
- Bachelor’s degree preferred
Experience
- Minimum of 2-3 years related experience in accounting
Knowledge, Skills & Abilities
- Fluency in English is a requirement. The ability to speak a second language is a plus
- Excellent Computer skills, utilizing programs such as Microsoft Outlook, Word, and Excel for data entry. SAP and/or Concur a plus
- Strong sense of teamwork and professional demeanor
- Ability to maintain a high level of confidentiality
- Ability to work independently on tasks, as well as to accept direction given on assignments
- Dependability, the individual is consistently at work and on time, available for all month end activities
Work Environment
- Work is conducted most often indoors in an air conditioned, illuminated office environment
- Operating standard office equipment such as copy machine, laptop computer in the office setting
- Motor skills and senses include speaking, listening, comprehension, sight, typing and writing
- Sedentary work with prolonged sitting for most of the day with lifting of no more than 20 pounds occasionally. Possible frequent lifting of small objects weighing less than 20 pounds such as files and small parts
Physical Abilities
Walking, standing, climbing stairways, pushing and lifting up to 20 pounds
