Responsibilities:
As a Client Service Representative, you will play an essential role in helping caregivers access our services and supporting our medical team in a busy veterinary setting.
We are looking for a patient, service-oriented individual who enjoys helping people and communicating with the public, on the phone, online and in person.
The ideal candidate remains calm under pressure, works well with a team, has a positive attitude, and enjoys finding solutions to meet the needs of caregivers from diverse backgrounds. You will be expected to learn veterinary terminology and communicate information accurately, clearly, and compassionately. An organized, efficient individual who enjoys multitasking and staying busy will thrive in this role.
Qualifications
- Minimum one year of veterinary reception experience or comparable receptionist/customer service experience
- Bilingual Spanish skills strongly preferred
- Ability to remain professional, patient, and composed in a fast-paced environment
- Ability to repeatedly lift up to 25 pounds and perform other physical tasks as needed
- Strong verbal and written communication skills with caregivers, volunteers, coworkers, and the public
- Ability to follow direction and complete tasks accurately, efficiently, and on time
- Proficiency with Google Docs and using databases
- Accurate data entry and recordkeeping skills
- Strong attention to detail and organizational skills
- Ability to work collaboratively as part of a team
- Patience, discretion, professionalism, and a sense of humor
Major Duties
- Screen and schedule a high volume of spay/neuter appointments and complete all related scheduling tasks
- Answer incoming calls, retrieve and respond to voicemail messages, and accurately log all communications
- Record client and patient information accurately and in a timely manner
- Perform clinic check-in and assist with the check-out process
- Check humane traps in and out to caregivers, collect deposits and maintain accurate records
- Maintain trap inventory and related records
- Educate caregivers on proper cat trapping techniques and best practices
- Review charges with clients, collect payments, and record donations
- Encourage donations in support of services provided
- Receive and stock cat food in the lobby as needed
- Perform routine cleaning and organizational tasks
- Support FCCO's mission, policies, and procedures
- Additional tasks and projects as requested
