About the Role:Feel Ideal 360 and its affiliated entities are seeking a proactive, organized, and trustworthy Executive & Personal Assistant to support both our Executive Director of Operations and CEO, Dr. Angela Straface. This role is split between Feel Ideal 360 headquarters and a private residence in Southlake, TX and combines executive-level administrative support with hands-on personal, household, childcare, and property-management responsibilities.
This is not a highly supervised role. The right person is a true self-starter who can notice what needs to be done, create systems, follow through without repeated reminders, communicate proactively, and close the loop on both personal and business projects. The ideal candidate thrives on variety, takes ownership, and can move seamlessly between clinic coordination, household routines, childcare logistics, vendors, errands, and executive support.
Key ResponsibilitiesPersonal & Household Management (Approx. 60%)· Run errands and manage household logistics, including groceries, returns, deliveries, household inventory, and vendor coordination
· Provide childcare support, including school drop-offs/pick-ups, afterschool activities, therapy appointments, evening care, and occasional weekend or overnight stays when needed
· Support daily child and household routines, including packing lunches, setting out outfits for the next day, and keeping school/activity needs organized
· Oversee light housekeeping and daily resets, including laundry flow, dishes, common-area organization, opening packages, and keeping the home functional and orderly
· Manage recurring household tasks, including taking trash cans out on Mondays and Thursdays and ensuring household supplies stay stocked
· Coordinate household maintenance and vendors, including adding salt to the water filter monthly, scheduling/communicating with handyman support, and tracking ongoing home projects
· Assist with family and personal travel arrangements, itineraries, personal correspondence, appointments, and other administrative needs with professionalism and discretion
Executive / Administrative & Clinic Support (Approx. 40%)· Manage complex calendars, appointments, travel, scheduling, and follow-up for the CEO and Executive Director of Operations
· Track key projects, vendor communications, delegated tasks, deadlines, and business follow-ups through completion
· Assist with coordinating trainings, internal events, vendor visits, model schedules, meeting logistics, and client-facing events
· Support office organization, supply coordination, filing systems, document preparation, and general administrative flow at Feel Ideal 360
· Assist with property management needs for additional entities, including communication and tracking triple-net, building/vendor requests, and ongoing handyman projects
· Assist with QuickBooks entries, expense tracking, receipts, light accounting/bookkeeping tasks, and basic financial organization as requested
· Handle professional correspondence and occasionally assist with errands, special projects, and operational logistics related to Feel Ideal 360 and affiliated entities
Success in This Role Requires· A high level of independent judgment, ownership, and personal accountability
· The ability to anticipate needs and solve problems without waiting for step-by-step direction
· Consistent follow-through: tasks must be tracked, completed, and communicated back without repeated reminders
· Comfort switching quickly between professional, household, childcare, and property-management priorities
· A calm, discreet, trustworthy presence in both a private home and a busy physician-led clinic environment
Ideal Candidate· 3 years of experience as a Personal Assistant, Executive Assistant, Household Manager, or similar high-trust support role
· Exceptionally organized, dependable, self-directed, and comfortable managing recurring responsibilities independently
· Strong communicator who provides updates, asks smart questions, and closes loops without micromanagement
· Experience with QuickBooks, expense tracking, property coordination, vendor management, or light bookkeeping preferred
· Comfortable balancing corporate, personal, household, childcare, and clinic-related duties in fast-paced environments
· Discreet, professional, adaptable, service-minded, and able to protect confidential family, patient, and business information
· Reliable transportation, valid driver’s license, and comfort transporting children required
· Availability for occasional overtime, evenings, weekends, and overnight childcare as needed

· Hours: Full-time, in-person, with flexibility for evenings/weekends as needed
· Compensation: Competitive hourly rate
