Lead Treatment Coordinator / Accounts Receivable Specialist
Family Dental Center is seeking a highly experienced, polished, and results-driven Lead Treatment Coordinator / Accounts Receivable Specialist to join our team.
This is a key leadership-level administrative position for an experienced dental professional who understands that successful treatment coordination involves much more than reviewing a treatment plan. The ideal candidate must be able to confidently educate patients about recommended care, explain insurance benefits and financial responsibilities, present financing solutions, collect outstanding balances, and follow accounts through resolution.
We are looking for a professional with a minimum of 3–4 years of strong dental treatment coordination and/or dental accounts receivable experience. This individual must be highly organized, financially knowledgeable, comfortable discussing money with patients, and capable of independently reviewing and auditing patient accounts.
This is not an entry-level dental front office position.
Key ResponsibilitiesTreatment Planning & Case Presentation
The Lead Treatment Coordinator will be responsible for:
- Reviewing doctor-recommended treatment plans for accuracy and completeness.
- Presenting comprehensive treatment plans to patients in a professional, confident, and compassionate manner.
- Clearly explaining recommended treatment, estimated insurance benefits, patient portions, deductibles, copayments, limitations, and financial responsibilities.
- Helping patients understand the importance of moving forward with recommended treatment while maintaining a patient-centered approach.
- Following up with patients who have diagnosed but unscheduled treatment.
- Maintaining organized treatment follow-up systems to improve case acceptance and reduce outstanding treatment.
- Working closely with providers, hygienists, clinical team members, and the front office to ensure treatment plans are properly communicated and scheduled.
- Identifying financial barriers that may prevent patients from proceeding with treatment and offering appropriate payment and financing solutions.
- Ensuring signed treatment plans and required financial documentation are properly maintained.
Dental Insurance Knowledge
Candidates must have a strong working knowledge of dental insurance and be able to independently interpret patient benefits.
Experience should include:
- PPO dental insurance plans
- Delaware Medicaid/State dental programs
- Medicaid dental benefits
- Deductibles and annual maximums
- Frequencies and limitations
- Waiting periods
- Missing tooth clauses when applicable
- Downgrades and alternate benefits
- Coordination of benefits
- Primary and secondary insurance
- Pre-authorizations and predeterminations
- Insurance estimates versus actual insurance payments
- Patient responsibility after insurance processing
The successful candidate must understand that insurance verification is not simply confirming whether coverage is active. You must be able to interpret benefits and effectively communicate those benefits to both patients and team members.
Accounts Receivable & Collections
This position will have significant responsibility for patient accounts receivable.
The Lead Treatment Coordinator / AR Specialist must be comfortable:
- Reviewing and managing outstanding patient balances.
- Contacting patients regarding past-due balances.
- Professionally collecting balances by telephone, text, email, and during in-office interactions.
- Establishing appropriate payment arrangements when authorized.
- Reviewing aging reports and identifying accounts requiring immediate follow-up.
- Researching discrepancies within patient accounts.
- Reviewing unapplied credits, outstanding balances, insurance payments, patient payments, adjustments, and account activity.
- Determining why balances remain outstanding and taking appropriate steps toward resolution.
- Documenting all collection activity and financial conversations thoroughly.
- Escalating complicated accounts when necessary.
- Maintaining consistent follow-up until accounts are appropriately resolved.
Candidates must be comfortable having direct and professional financial conversations. The ability to discuss significant treatment costs and past-due balances confidently, respectfully, and without avoiding difficult conversations is essential.
Ledger Review & Account Auditing
Strong dental ledger knowledge is required.
The successful candidate must be able to:
- Read and understand a complete dental patient ledger.
- Review charges, payments, adjustments, insurance payments, patient payments, credits, and outstanding balances.
- Identify incorrect postings or unusual account activity.
- Determine whether balances are patient responsibility or insurance responsibility.
- Audit accounts before presenting balances to patients.
- Review clinical documentation and account history when researching financial discrepancies.
- Audit charts and accounts for accuracy and completeness.
- Recognize when additional research or correction is required before contacting a patient.
- Maintain detailed and accurate account notes.
You should be able to open a complicated patient account, review the history, and determine what happened, what is outstanding, who is responsible, and what needs to happen next.
Patient Financing & Financial Arrangements
Candidates must have experience presenting and explaining patient financing and payment options.
Responsibilities include:
- Discussing financing options with patients.
- Assisting patients through financing applications when appropriate.
- Explaining monthly payment options, promotional terms, and patient responsibility.
- Understanding how third-party patient financing works within a dental practice.
- Presenting multiple financial solutions when treatment is not affordable as a single payment.
- Following established office policies regarding deposits, payment arrangements, and financing.
- Ensuring financial agreements are clearly documented.
Experience with common dental patient-financing platforms is strongly preferred.
Dentrix Ascend Experience
Dentrix Ascend experience is a major plus.
Candidates with experience using Dentrix Ascend for treatment planning, patient accounts, ledgers, insurance, financial notes, reporting, scheduling, and account management will receive strong consideration.
Candidates should also be comfortable learning and utilizing additional dental technology, reporting platforms, payment systems, and patient communication tools.

- Minimum 3–4 years of dental treatment coordination, dental accounts receivable, insurance, or comparable dental front-office experience.
- Strong experience presenting comprehensive dental treatment plans.
- Strong understanding of dental insurance.
- Experience with PPO plans and Medicaid/state dental programs.
- Experience reviewing patient ledgers and researching account balances.
- Experience collecting past-due patient balances.
- Experience with dental accounts receivable.
- Experience discussing patient financial responsibility.
- Experience presenting patient financing/payment options.
- Strong written and verbal communication skills.
- Excellent organizational and follow-up skills.
- Strong attention to detail.
- Ability to maintain professionalism during difficult financial conversations.
Dentrix Ascend experience is strongly preferred.

Compensation
Compensation is based on experience, dental knowledge, demonstrated skill level, and overall qualifications.
Candidates with extensive treatment coordination, accounts receivable, insurance, Dentrix Ascend, Medicaid, and patient-financing experience may be considered at a higher compensation level.
