From Michelin-caliber kitchens to neighborhood cocktail bars, we navigate the complex web of City Planning, Building, and Health Department regulations so our clients can focus on creating memorable guest experiences. Our office, located in historic Little Tokyo, is a collaborative team of designers, drafters, and project coordinators who value transparency, mentorship, and a shared appreciation for the hospitality world.
The Office Assistant supports the operational efficiency of FE Design & Consulting by handling administrative, organizational, and logistical responsibilities, allowing consultants and project managers to focus on higher-level client service, permitting strategy, business development, and project execution.
- Tidy and organize the break room every morning
- Maintain office appearance and complete office beautification tasks
- Receive incoming packages and distribute them accordingly
- Retrieve and distribute incoming mail
- Maintain copier paper, staplers, and office supplies every Monday
- Monitor general office supply inventory and notify staff when items are low
- Attend staff meetings to understand workflow and identify areas where support is needed
- Take meeting notes, minutes, and action items during staff meetings
- Order business cards for staff members as needed
- Update internal checklists and administrative systems to improve staff efficiency
- Assist with research assignments and information gathering
- Scan approved plans and organize digital records
- Maintain project files and archive projects older than two years into finished project sections
- Assist with organizing site visits and project logistics
- Help maintain orderly digital and physical filing systems
- Answer calls and route inquiries appropriately
- Assist in capturing new project leads and ensuring follow-up
- Help monitor incoming communications so opportunities are not missed
- Drop off plans to the Industrial Waste office
- Drop off and pick up ABC-related packages and applications
- Assist with agency errands and document delivery as needed
- Provide basic IT troubleshooting assistance
- Help staff with simple technology and equipment issues
- Assist with organizing shared digital systems and files
- Excellent written and verbal communication skills
- Organized, proactive, and comfortable juggling multiple deadlines
- Self-starter and solution-oriented person who needs little direction to accomplish goals
- Valid driver’s license and reliable transportation for client meetings and site visits
- Someone living the Northeast LA area
