Duties
- Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Handle phone etiquette with professionalism across multi-line phone systems, screen calls, and direct inquiries appropriately.
- Organize and maintain files, documents, and records through efficient filing systems—both physical and digital—ensuring easy retrieval.
- Assist with event planning for company meetings, conferences, and special events, including logistics coordination and vendor communication.
- Manage office operations such as supply procurement, equipment maintenance, and overseeing front desk activities to create a welcoming environment.
- Perform data entry, bookkeeping tasks using QuickBooks or similar software, and handle basic invoicing or expense tracking.
- Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents for accuracy, and transcribing meeting notes as needed.
- Utilize office management skills to streamline workflows, improve processes, and enhance overall office productivity.
Experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications (Gmail, Docs, Sheets), and familiarity with office equipment such as multi-line phones and fax machines.
- Strong organizational skills with keen attention to detail in proofreading, data entry, filing systems, and transcription tasks.
- Knowledge of bookkeeping software like QuickBooks along with basic bookkeeping practices including invoicing and expense management.
- Excellent communication skills—both verbal and written—and a professional phone manner that fosters positive interactions with clients and team members alike.
