Fayetteville Technical Community College is seeking qualified applicants for this full-time position. The Assistant Registrar will assist in the planning, organizing, and supervision of the College’s registration and student records services; actively participate in registration activities with faculty, staff, and other College divisions and departments; and perform a variety of technical tasks relative to registration. Essential Duties—Duties may include, but are not limited to, the following:
- Manage all daily operations of the registration and records office, including enrollment, registration, grading, reports, transcripts, record maintenance, and graduation related activities.
- Supervise the daily activities of the Enrollment Services Technician; assist in interviewing and hiring; train new employees; assign and review work; evaluate job performance; and plan staffing needs
- Work with Academic Deans, Student Success and Advising, the Business office, Financial Aid, and other entities to provide reports, collaborate, and research resolutions of issues.
- Maintain and ensure the highest standards of accuracy, security, and privacy of student and alumni records, and ensure compliance with the FERPA (Family Educational Rights and Privacy Act).
- Trains faculty and staff to adhere to FERPA policies at all times.
- Ensure complete accuracy and maintenance of student records by:
- Monitoring the quality of information (grades, registration, etc.) recorded
- Implementing consistent standards for data entry
- Managing the graduation process, including applications for graduation, the final audit of student records, and approval for degree, diploma, and certificate conferrals.
- Collect, analyze, and interpret institutional data on enrollment trends, student success, retention and outcomes.
- Assist Senior Registrar with preparing and submitting accurate and timely reports to federal and state agencies.
- Monitor operations, activities, and software updates of records and registration functions; responds to recommended improvements and modifications.
- Stay informed of current state and federal regulations regarding student records.
- Provide necessary maintenance, documentation, training, and leadership to staff and faculty on Ellucian Student Information Products (Banner, Colleague, etc.).
- Establish ongoing training and staff development to include creating manuals of all new training modules for all state supported software platforms utilized by the Registration and Records department.
- Answer questions and provide information to students and the public; investigate complaints and recommend corrective action as necessary to resolve complaints.
- Serving on college committees and working on special projects as needed.
- Assist Senior Registrar with implementation of policies and procedures within the Registrar’s Office and participate in annual unit goals and objectives.
- Perform related duties as assigned.
- A Bachelor’s degree from an accredited college in Business Administration, Records Management, or a closely related field; or equivalent.
- Three years of increasingly responsible experience in Registrar’s Office or Higher Education. Experience working with student records and large-scale databases.
- Has a strong attention to detail with a high level of accuracy in data management.
- Knowledge of rules, regulations, and laws regarding student records.
- Experience managing multiple projects within a rapidly changing environment.
- Proven ability to exercise tact, diplomacy, and conflict resolution skills.
Master’s Degree from an accredited college in Business Administration, Records Management, or a closely related field; or equivalent.
