Position Summary:
The Part-time Gift Processor/Office Assistant will support the day-to-day operations of the Development office. This position will report to FBMS’ Development Operations Administrator and also work closely with the Database Consultant to ensure that acknowledgment letters are being sent out on a timely basis, which includes, but is not limited to printing, scanning, folding, and stuffing mailers.
The paid position is based out of FBMS’ Brockton office. Part-time hours are expected to be between 20-28 hours/week, depending upon office needs. Additional hours may be required during high volume periods (holidays, events).
Essential Responsibilities:
Office Management:
- Open and sort development office mail.
- Share the responsibility of answering office calls.
- Reconcile the department’s monthly Amex charges.
- Maintain electronic filingsystem.
- Maintain office supplies and equipment, including mail machine and copier/fax/scanner; place orders for office supplies and equipment.
- Support the execution of in-house mailings, such as corporate outreach, year-end mailings, and others as scheduled.
- Assistwith development events.
Gift Processing:
- Enter gift information and record batches in Raiser’s Edge.
- Execute all gift acknowledgements ina timelyandaccuratemanner, including largevolumein-kind and honor/memorial gifts/notifications.
- Ensure donors receive proper acknowledgement of gifts and coordinate signatures from the Development team, including the CEO and Chief Development Officer.
- Inform Development staff and CEO on $1,000 gifts on a regular basis.
- Create new donor records as needed and accurately capture donor information, with an understanding of pertinent data fields.
- Perform data entry updates to donor records as information is received (i.e.change of address and mailing preferences).
- Support agency-wide in-kind gift procedures in conjunction with Director of Volunteer Services, Community Engagement Specialist, and front desk staff, including entering in-kind donation information and values into Raiser’s Edge on a biweekly basis.
- Review database entries and inform staff of any data discrepancies such as misspellings, incorrect donor information, change of address, and salutations. In collaboration with the DevelopmentOperations Administrator, correct and update records accordingly.
Requirements
- High school degree or equivalent.
- Proficient computer skills, including Microsoft Office Suite (Word and Excel).
- Experience with Raiser’s Edge NXT or comparable CRM software preferred.
- Ability to learn new software as needed.
- Understanding how to handle highly confidential information.
- Highly organized. Flexible, self-directed, dependable, and personable. Ability to multi-task and prioritizeprojects.
- Must be 18 years of age.
- Excellent written and verbal communication skills.
- Energeticand eager to tackle new projects and ideas.
Work Environment
- Some evening and weekend availability may berequiredfor development related events.
- Access to reliable transportation - occasional travel between FBMS sites.
