Role Overview
We are seeking an experienced and detail-oriented Leave of Absence Specialist (LOAS) to manage the full-cycle administration of employee leave requests, including FMLA, disability, personal leaves, workers’ compensation coordination, and other company-supported leave programs.
This role serves as the primary point of contact between employees, managers, HR, Payroll, and third-party administrators to ensure leaves are handled efficiently, professionally, and in compliance with federal, state, and local regulations.
The ideal candidate is organized, compassionate, and able to manage multiple cases in a fast-paced environment while maintaining confidentiality and providing excellent employee support throughout the leave process.
Key Responsibilities:
- Administer and oversee all types of employee leaves of absence, including FMLA, long-term disability (LTD), military, and personal leaves.
- Ensure timely and accurate processing of LOA requests in alignment with company policies and applicable laws.
- Act as the main point of contact for the third-party administrator (TPA), coordinating documentation and communication.
- Provide HR team members with expert guidance on LOA-related policies, procedures, and legal requirements.
- Address employee inquiries regarding LOA with compassion and consistency.
- Maintain accurate and confidential LOA records, including requests, approvals, correspondence, and return-to-work documentation.
- Monitor compliance with all federal, state, and local laws including FMLA, ADA, and other leave-related legislation.
- Track and analyze LOA trends and generate reports for HR leadership.
- Recommend and help implement process improvements to enhance the LOA experience for employees.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Minimum of 5 years of experience in LOA administration within a high-volume environment.
- Proven experience working with third-party leave administrators.
- In-depth knowledge of FMLA, ADA, and other applicable leave-related laws.
- Excellent communication, organizational, and problem-solving skills.
- Ability to manage sensitive situations with empathy, discretion, and professionalism.
Physical & Work Environment Requirements:
- Prolonged periods of sitting while working at a computer.
- Occasional walking through warehouse and office environments.
- Frequent computer usage for email, data entry, and documentation.
- Clear verbal and written communication is essential.
- Occasional light lifting (up to 15 lbs.) of office materials or equipment.
- Ability to review documents and reports visually and engage in active listening.
