The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $70,522.32 per year with step increments per Salary Schedule 92, after one year of service and annually thereafter.
Work Schedule
Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.

Essential Functions
Administrative & Operational Support
- Assist Department Chairs and Assistant Chairs with administrative responsibilities, including handling confidential matters.
- Compose correspondence, memos, and communications under own signature and on behalf of department leadership.
- Maintain departmental calendars, including advisement appointments and key academic timelines.
- Keep track of Chair and departmental administrators' terms of office and required elections.
- Keep Assistant Chairs informed of issues involving students and faculty.
- Perform faculty load entry and maintenance and alert Payroll of any discrepancies or issues.
- Work with Assistant Chairs and Evening Coordinator to support faculty programming.
- Coordinate Academic Standards student information, including audits and curriculum assessment processes.
- Monitor Tenure and Promotion processes to ensure procedures are followed.
- Schedule and coordinate meetings with administrators, departments, and committees.
- Prepare and distribute department agendas and meeting minutes.
- Work with Facilities to secure space for meetings, portfolio evaluations, AAS exhibits, and BFA fashion shows.
- Assist with exhibits and shows, including program coordination, space planning, and awards/trophies.
- Respond to student and faculty inquiries and provide guidance on academic and administrative matters.
- Assist with student issues and coordinate follow-up with faculty and leadership.
- Contact faculty with emergency information as needed.
- Coordinate BFA applicant interview scheduling.
- Assist with student locker assignments.
- Assist with Argos reporting and data retrieval.
- Support Financial Enterprise processes and budget-related activities.
- Contribute to departmental reporting, audits, and administrative tracking.
- Train and supervise work-study students.
- Support special projects and additional departmental initiatives.
- Perform course programming entry and maintenance in Banner and alert Payroll of any discrepancies or issues.
- Update faculty and student email lists in Google groups every semester.
- Answer and appropriately handle incoming calls, greet students, and visitors.
Job Requirements
Minimum Qualifications:
- Bachelor's degree required.
- 3-5 years of administrative experience.
- 1-2 years of experience in an academic or higher education setting.
- Working knowledge of Banner, Blackboard, Brio, and Financial Enterprise systems.
- Ability to maintain a high degree of confidentiality and discretion.
- Strong organizational skills and ability to manage multiple priorities.
- Detail-oriented with strong attention to deadlines.
- Excellent written and verbal communication skills.
- Ability to compose correspondence and prepare administrative reports.
- Strong problem-solving and critical thinking skills.
- Ability to work independently and collaboratively in a team environment.
- Proficiency with Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint).
