Job Summary
The Learning & Development (L&D) Assistant is a key member of the Learning & Development team, responsible for supporting the coordination, administration, communication, and day-to-day operations of the organization's training and employee development programs. This role provides administrative and logistical support to ensure training initiatives are delivered efficiently and effectively while promoting a positive learning experience for employees, internal clients, facilitators, and business partners.
The L&D Assistant manages training schedules, registrations, learning systems, training room logistics, virtual learning sessions, communications, reporting, and department resources. The position serves as a primary point of contact for training-related inquiries and supports the successful execution of instructor-led, virtual, and self-paced learning programs.

Key Responsibilities
- Coordinate and manage multiple projects, timelines, and deliverables while ensuring a high level of accuracy, organization, and follow-through.

- Serve as a responsive, customer-focused resource, anticipating needs and resolving issues in a timely, professional manner.

- Track, prioritize, and complete administrative and operational responsibilities while meeting established deadlines.

- Coordinate training communications and materials, including course announcements, invitations, reminders, pre-work assignments, participant materials, and follow-up communications.
- Provide administrative support for Learning & Development operations, including monitoring the department mailbox, answering department inquiries, and assisting employees and internal clients.
- Partner with L&D Trainers and management to develop, maintain, and publish quarterly training calendars.
- Enter, update, and maintain training classes, rosters, and learning records within the Learning Management System (LMS).
- Support general reporting functions and maintenance of eLearning programs and records.
- Create, update, and maintain training-related documentation, including spreadsheets, process guides, worksheets, presentations, and reference materials.
- Assist with project research and information gathering to support department initiatives.
- Manage and distribute mystery shop documentation and reporting materials.
- Coordinate distribution of employee recognition items, certificates, awards, and training completion materials.
- Support the administration and maintenance of the Learning Management System (LMS), including course setup, updates, reporting, and participant tracking.
- Produce and support virtual training sessions, webinars, and online meetings.
- Assist facilitators with technology setup, troubleshooting, and participant support during virtual learning events.
- Coordinate and distribute digital learning resources and course materials.
- Manage the Learning & Development calendar and coordinate scheduling for training rooms, meetings, and department events.
- Oversee day-to-day operations of training facilities, ensuring rooms are organized, professional, and ready for use.
- Coordinate room setup, furniture arrangement, audiovisual equipment functionality, training supplies, refreshments, and overall room readiness.
- Maintain inventory and ensure ongoing upkeep and stocking of training rooms and department resources.
- Support general organization and continuous improvement of office spaces, files, records, and departmental materials.
- Coordinate mail distribution and correspondence responses as appropriate.
- Provide inter-branch pickup and delivery support for training materials, supplies, and department resources.
- Prepare office supply requests, obtain approvals, place orders, receive deliveries, and maintain inventory.
- Support L&D leadership with calendar management, scheduling, meeting coordination, and administrative activities as needed.
- Maintain accurate records, filing systems, and departmental documentation to support efficient operations and compliance requirements.
- Perform other duties and special projects as assigned by management.
Compliance Responsibilities
Complies with all applicable state and federal banking laws, regulations, and internal policies related but not limited to lending, operations, and deposit requirements, including Bank Secrecy Act (BSA), Anti-Money Laundering (AML) requirements, Office of Foreign Assets Control (OFAC) regulations, Customer Identification Program (CIP) requirements, Financial Elder Abuse reporting laws, Sexual Harassment prevention policies, information security and privacy requirements.
Required Knowledge

Minimum Absence Requirement
Some positions within the Bank have been designated as sensitive positions due to access to critical systems, records, or processes. In accordance with Bank policy and sound internal‑control practices, employees in sensitive positions are required to complete a mandatory consecutive absence from essential duties each calendar year to support segregation of duties and independent review.
The required absence will be scheduled in coordination with management to ensure continuity of operations. Administration of absence, including paid or unpaid status, will comply with all applicable federal, state, and local wage and hour and leave laws, including California requirements.

Compensation
The listed range represents the full compensation range for this position. Placement within the range will be determined based on factors including skills, relevant experience, job‑related qualifications, geographic location, and internal equity, in accordance with Bank compensation policies.
- Non‑Exempt Hourly Rate: $20.50 – $30.50 per hour
