Farmers' Implement of Mineral Point is seeking a motivated, detail-oriented Office Assistant / Assistant Bookkeeper to join our team. This is an excellent opportunity for someone with an accounting background who wants to learn the dealership business from the ground up and grow into a larger role over time. We are looking for an individual who enjoys a variety of responsibilities, takes pride in accuracy, and is eager to develop professionally.
Position Overview
The Office Assistant / Assistant Bookkeeper will support daily accounting and administrative operations while helping maintain our customer relationships, online presence, and dealership records. The ideal candidate will have a solid understanding of accounting principles, strong organizational skills, and a willingness to learn all aspects of dealership operations.
Primary Responsibilities
Daily Responsibilities
- Answer and direct incoming phone calls
- Process daily bank deposits
- Charge out whole goods sales
- Charge out rental transactions
- Apply customer payments (ROAs/checks) to accounts
- Enter and reconcile credit card deposits
- Provide administrative and customer service support as needed
Weekly Responsibilities
- Submit Farm Plan batches
- Enter parts and whole goods invoices
- Match accounts payable statements to invoices
- Apply ACH payments to customer accounts
- Complete ATV/UTV DNR registrations
- Prepare and type sales contracts and related paperwork
- Maintain and file tax-exempt documentation
- Update dealership website with current inventory and information
- Submit co-op advertising claims and documentation for manufacturer reimbursement
- Assist with dealership marketing and promotions
Monthly Responsibilities
- Prepare and process customer statements
- Assist with sales and use tax reporting
- Order office supplies and maintain office inventory
- Support month-end accounting and reconciliation activities
Additional Responsibilities
- Manage and update the dealership's Facebook page and social media presence
- Assist with website maintenance and content updates
- Support marketing and advertising initiatives
- Maintain customer and vendor records
- Assist with special projects and process improvements
- Provide backup support for other office functions as needed
Qualifications
Preferred Education & Experience
- Associate degree (2-year) in Accounting, Business, Finance, or related field preferred
- Accounting background or bookkeeping experience required
- Understanding of basic accounting principles, accounts payable, accounts receivable, and reconciliations
- Experience with accounting software and Microsoft Office applications
