Human Resource and Office Administrator
POSITION SUMMARY:Under general supervision of the Executive Director, the Human Resource and Office Administrator plays a vital role in ensuring the smooth and efficient operation of both human resources and administrative office functions within the organization. This position provides support to the Executive Director and serves as the central point of contact for office management and HR processes such as recruitment, onboarding, employee recordkeeping, and benefits coordination. The Human Resources Administrator is detail-oriented, highly organized, and capable of managing multiple priorities with professionalism and discretion and contributes to the overall success and culture of the organization.
Full-time position (35 hours per week.) Salary $75,000 annually
Responsibilities include:
- Execute the employee hiring processes including recruitment, onboarding and offboarding.
- Maintain accurate and up-to-date employee records.
- Implement and enforce HR and organizational policies and procedures.
- Coordinate benefits, pension and workers compensation administration.
- Ensure compliance with state and federal employment and regulations and assist with cyber-security audits.
- Support payroll and administration.
- Liaise with the Board of Directors, program staff and vendors.
- Manage routine communication, phone, email and mail.
- Prepare invoices.
- Maintaining filing systems (physical and digital) and ensure the confidentiality and security of data
- Coordinate meeting schedules, travel arrangements, and company events.
- Order office supplies and equipment and oversee their maintenance.
Qualifications
- A minimum of an associate degree and five years’ experience in office and human resources administration, ideally within a non-profit or social services environment.
- Applicants should preferably have an HR certification: SHRM-CP from the Society for Human Resources Certification Institute, or PHR certification from the Human Resources Certification Institute (HRCI).
- Knowledge of labor laws and HR best practices.
- Excellent verbal and written communication skills, including proficiency in MS Office Suite and data management systems. Bilingual (English/Spanish) preferred.
- Strong organizational and time management skills with keen attention to detail and the ability to manage multiple priorities effectively.
- An analytical mind and ability to think critically.
- The capacity to work both independently and as part of a team.
- The ability to clear background checks.
- A compassionate demeanor to work with diverse social, cultural, and economic groups, as well as a commitment to maintaining confidentiality and upholding ethical standards.
- Valid driver's license and car required.
