The person in this position operates as the Administrative Coordinator within FSRI. The Administrative Coordinator is responsible for providing a warm, welcoming environment for all people receiving our services. The Administrative Coordinator ensures individuals and families are connected with counseling services using evidence-based clinical practices and interventions, that are consistent with the person's values, preferences, and individualized needs. As part of our team, this person shares responsibility for directing, coordinating, and managing care and services

- Demonstrates commitment to the person-centered and family-centered treatment planning process
- Assists with maintaining a clean, warm, welcoming, and safe environment in all office spaces and waiting areas
- Greets all individuals and families in a warm, welcoming manner as they enter our office sites
- Answers office phones in a warm, welcoming manner to provide quality care to all
- Responsible for completing confirmation calls for upcoming appointments
- Responsible for collecting, verifying, and entering benefits & insurance information into EMR
- Responsible for the ongoing monitoring of benefits & insurance information for people receiving our services
- Collects co-pays as appropriate at the time of service
- Monitors daily totals of co-pays
- Meets with clients to review sliding fee and determine appropriate payment plan as needed
- Assists with monitoring client balances
- Assists with staff assignments in EMR
- Assists with the organization and monitoring of office room spaces & room assignments
- Responsible for the opening and closing of building site
- Participates in responsive intake practices
- Gives priority to urgent needs including access to expedited assessment and service planning
- Ensures individuals and families are offered appointment times during times that meet the needs of our population
- Ensures all individuals and families have upcoming appointments with their assigned program staff
- Completes engagement calls and sends engagement letters as appropriate
- Actively participates in our engagement process to adhere to our Appointment Policy
- Assists with warm hand offs to our Emergency Services/Mobile Crisis staff as appropriate
- Provides individuals and families with psychoeducation regarding our Emergency & Crisis Services meet 988 Suicide & Crisis Lifeline
- Completes all required documentation and data entry in a timely manner
- Participates in outreach activities as appropriate
- Provides language support and translation services in collaboration with internal programs and community partners as appropriate
- Completes follow up calls and coordinates care as appropriate to ensure referral process has been completed
- Participates in ongoing supervision and staff meetings
- Assists with triage coordinator duties as appropriate, including covering intake & triage tasks to support open access model
- Works collaboratively across department and divisions to ensure quality service
- Contributes to a healthy and inclusive staff culture through modeling inclusion, flexibility, compassion, and a strong work ethic
- Adheres to all agency and CCBHC policies and procedures, including HIPAA, 42 CFR Part 2, and all state and federal regulations
- Performs additional responsibilities consistent with Agency needs, defined in consultation with supervisor(s)
QUALIFICATIONS:
- Bachelor's degree preferred
- Spanish bilingual required
- Ability to use all Microsoft Office programs, particularly Excel and Word, and significant computer skills necessary to utilize electronic systems, including EMR
- Ability to lead through example, project professionalism, and deliver high-quality customer service
- Understanding of health insurance and program funding
- Ability to have a flexible schedule to include some evenings
- Prior experience working in behavioral health and/or substance use setting preferred
PHYSICAL REQUIREMENTS: This employees in this position must have the ability to:
- Current driver's license, reliable transportation, registration and auto insurance
- Ability to communicate effectively
- Travel to and from clients' residence, community locations and office site, which could include using walkways, stairs and/or elevators
- Ability to lift up to 20lbs
