JOB DESCRIPTION
TITLE: Facilities Manager
FT/PT: Full Time (35 hours per week, may include some evenings and weekends)
CLASSIFICATION: Exempt
PAY GRADE: Level 20
REPORTS TO: Property Manager & Executive Director
SUPERVISES: Janitor & Maintenance
FUNCTION: The Facilities Manager is responsible for overseeing the overall maintenance and medium to general contracting duties for all Family Rescues grounds and property. The position requires upkeep of Apartments and Office Buildings. Performs many maintenance, safety and management tasks that promote a clean and safe working environment for the building’s employees and for the staff they oversee. General understanding of HUD building requirements, and experience with preventative maintenance inspections for Section 8 or Low-Income Housing. Able to maintain invoices to various vendors.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Advance mechanical skills and knowledge of plumbing, HVAC and other building systems
- Proficiency with repair tools and techniques
- Excellent communications and interpersonal skills, including the ability to speak with all levels of employees, clients, vendors and team members
- Delegate cleaning and maintenance tasks to team members
- Excellent time management, organization and prioritization abilities
- Keen attention to details and efficient problem-solving skills
- Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces
- Performing routine maintenance on facilities and making repairs as needed
- Scheduling routine inspections and emergency repairs with outside vendors
- Ensuring proper security and safety measures for the workplace, including collaborating with outside vendors or contractors through the completion of the contracted work
- Maintain day-to-day operations of facilities, such as delegating or completing maintenance orders
- Create reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff
- Preparing facilities for changing weather conditions
- Inspect and maintain electrical, plumbing, air conditioning and landscaping on the company’s premises.
- Collaborate with building inhabitants to set safety protocols, supervise security staff and technology, schedule routine maintenance, plan new projects and perform emergency repairs
- Collaborate with building owners and upper management on budgeting for facilities needs
- Responsible for the overall building maintenance.
- Responsible for minor repair work of agency properties.
- Responsible for the documentation of property conditions as well as completing reports including monthly occupancy/vacancy report to the Executive Director.
- Ensure that lighting, heating, and security systems are working properly.
- Maintain upkeep of outdoor play areas, watering of plants, trees, and shrubs.
- Sweeping and snow removal of sidewalks and streets on the periphery of the building.
- Assist with pickup of donations and storage of materials.
- Maintain open line of communication with the Property Management and any outside vendors to address facility concerns, (e.g. order supplies, schedule painters etc.)
- Prepare vacated apartments for incoming clients
- General maintenance of agency vehicles and track maintenance of agency van
- Correct building violations as needed
- Attend tenant organization meetings on a regular basis
- Complete work orders as requested in a timely manner
- Attend all staff meetings
- Other duties as assigned
OTHER DUTIES
- Ability to lift heavy equipment and comfortable standing or walking for long periods of time
- Facilities Managers schedule daily janitorial services to keep the building’s interior attractive and hygienic
- They assess the costs of maintaining workspaces,
- Make recommendations for becoming more efficient and may assist in relocating businesses to a new office space that better meets the company’s needs.
QUALIFICATIONS:
- High School Diploma or GED equivalency. 2-3 years’ experience and knowledge as a General Contractor, Maintenance and Facilities Supervisor/manager upkeep
- Excellent organizational, planning, and writing skills.
- Must have a valid Illinois Driver’s License and transportation
- Minor plumbing, electrical and carpentry skills
Salary : $68,500 - $70,000
