Summary

We are seeking a Center Administrative Coordinator to join our team at Family Beeginnings, INC. In this role, you will play a pivotal part in managing clinic operations and ensuring the delivery of high-quality pediatric therapy services. Your contributions will directly impact the well-being of our patients and their families.

Our team members are expected to be leaders in the community, ensure our high-quality standards are met, and foster an exceptional work environment. The right candidate will have extremely strong attention to detail in addition to being professional, energetic, organized, and driven. You don't mind wearing different hats and take the initiative to get things done. We will train you on the specific job responsibilities, although the right fit will quickly and easily pick up responsibilities and manage them on their own. Responsibilities

  • Maintain accurate medical documentation and patient records in compliance with HIPAA regulations.
  • Maintain Center Provider Schedules and Rerouting Staff/Clients
  • Validating the accuracy of center schedules
  • Managing communication with the parents and families enrolled in our program
  • Open and/or close the center
  • Onboarding new clients and hosting center tours
  • Holding clinicians accountable for submitting session notes within 48 hours
  • Ensuring that clinical note audits occur to maintain the accuracy of billing
  • Document management, both for clients and employees (Scan documents and file appropriately).
  • Ensuring adherence to budget requirements for center purchases
  • Ordering and keeping track of inventory
  • Communicating with the insurance and billing department regarding client insurance authorizations
  • Communicating with the HR team and Director of Operations regarding any resignations or staffing needs
  • Conducting disciplinary meetings and or actions
  • Maintaining and recognizing staff birthdays and organizing team-building events
  • Schedule and manage maintenance contractors (e.g. HVAC, cleaning services, pest control, plumber, etc).
  • Collecting daily co-pays
  • Communicating with billing team regarding late fees and cancellation fees
  • Answering company phone and managing voicemail
  • Overseeing the cleanliness, maintenance and integrity of office -Refill soap, toilet paper, paper towels, etc.
  • Device management
  • Monthly Calendar
  • Updating bulletin boards
  • Seasonal Decorating
  • Update client waitlist
  • Maintain employee roster
  • Maintain client roster

  • You understand health insurance and health insurance jargon

Requirements

  • Bachelor's degree in healthcare administration or related field preferred.
  • Experience in pediatric therapy or behavioral health settings is highly desirable.
  • Strong knowledge of applied behavior analysis (ABA) principles and practices.
  • Familiarity with medical terminology and documentation standards.
  • Excellent organizational skills with the ability to manage multiple tasks efficiently.
  • Strong communication skills for effective interaction with patients, families, and staff.
  • Ability to sit, stand, and use a computer for periods of time
  • Ability to bend, reach, and grasp objects
  • Ability to lift up to 30 pounds
  • Encouraging bilingual applicants - Spanish preferred
