The Opportunity

We are seeking a highly organized, professional, and fluently bilingual (English/Spanish) Administrative Support Staff member to join our team. In this multi-faceted role, you will support our evening operations at the Hempstead Clinic and weekend operations at the Hicksville Clinic, serving as a primary point of contact for clients, families, and clinic staff. By bridging communication gaps during peak operational hours, you will help deliver vital community health services seamlessly. This part-time opportunity is ideal for an administrative professional looking to apply their language skills and organizational talents within a supportive, mission-driven environment.

Responsibilities

  • Manage the front reception areas during designated evening hours at the Hempstead Clinic and morning hours at the Hicksville Clinic, greeting visitors and tracking arrivals.
  • Answer, screen, and route incoming clinic calls in both English and Spanish, providing accurate routing, general information, and taking detailed messages.
  • Translate agency documents, intake forms, and clinic materials between English and Spanish as required.
  • Assist non-English speaking clients with filling out initial paperwork, application intakes, and navigating internal clinic processes.
  • Perform general clerical duties including data entry into client tracking systems, digital filing, photocopying, scanning, and distributing clinic mail.
  • Coordinate and maintain evening/weekend clinic schedules, arrange meeting rooms, and assist clinic staff with programmatic logistical support.
  • Monitor, inventory, and order front office and general programmatic supplies to ensure continuous operations.

Qualifications

  • EDUCATION: High School Diploma or equivalent required; Associate's degree in Business Administration, Secretarial Studies, or related coursework preferred.
  • EXPERIENCE:
    • Minimum of 1-2 years of professional administrative, reception, or medical/clinic office support experience.
    • Fluency in both written and spoken English and Spanish is strictly required. Candidates must demonstrate the ability to translate and converse comfortably in professional clinic settings.
    • Willingness and ability to reliably commute to the Hempstead Clinic (Mon-Thu evenings) and the Hicksville Clinic (Saturday mornings).
    • Proficient with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment (scanners, multi-line phones).
    • Strong interpersonal, organizational, and time-management skills with high attention to cultural competency and confidentiality.
