What are the responsibilities and job description for the Sr Administrative Clinic Coordinator position at Fairview Health Services?
We are looking for a Senior Administrative Clinic Coordinator to join our team! This is a full time (1.0FTE) on the day shift.
The Sr. Administrative Clinic Coordinator reports to the Director of Operations and provides dedicated support to the Operations Director and Medical Director including their group of clinics and site leadership teams. This role is responsible for activities related to clinic providers (physician and advanced practice providers) staffing and support, and for supporting the day-to-day operations of the primary care or specialty clinic leadership team. This role serves as a valuable extension of the leadership team.
Responsibilities
- Creates and maintains provider schedule templates in Epic, provider master schedules and provider call schedules as well as daily provider schedule template adjustments.
- Maintains provider time off including approvals, time tracking and balances. Collaborates with staffing coordinator.
- Completes provider payroll approval as a delegate of Medical Director(s).
- Responsible for provider purchasing card (P-Card) reconciliation and approvals.
- Collaborates with provider recruitment and onboarding; when a new provider starts to coordinate meetings, schedules, materials, and IT needs. Manages the provider offboarding process.
- Provides administrative support to operations leaders including developing presentations, pulling reports or data to support various strategic initiatives or projects.
- Schedules and coordinates meetings, including agendas, minute taking, preparing materials and distribution.
- Prepares invoices for payments, locates and orders supplies or service needs, and maintaining equipment.
- Assist other staff as needed to ensure no gaps in service to the leadership team.
- May participate in service line projects.
Required Qualifications
- High School Diploma or GED
- 3 years administrative experience
Preferred Qualifications
- Vocational or technical training or
- Associate of Arts
- Experience managing schedules
- Experience in administrative support
- Experience with Electronic Health Record (Epic or similar) schedules and templates knowledge
- Notary Upon Hire
