What are the responsibilities and job description for the Dental Assistant-Front Desk Coordinator position at Fairgrove Dental cener?
We are a well-established, patient-focused dental practice in La Puente, CA, seeking an experienced and professional Front Desk Coordinator with the ability to assist in the back office as needed. The ideal candidate is friendly, organized, honest, hardworking, and committed to providing an excellent patient experience.
Professional attire is required. Dental experience is necessary.
Primary Responsibilities (Front Desk & Patient Experience)
- Welcome patients by greeting and checking them in with a friendly and professional manner
- Support all patient experience matters from check-in to check-out
- Answer phones, manage high call volumes, check messages throughout the day, and document communications accurately
- Schedule appointments with ideal practice flow in mind, including recalls and rescheduled appointments
- Verify insurance information, insurance coverage, and coordinate insurance verification and claim tracing
- Collect copayments, payments, and confirm financial arrangements
- Assist with billing and payment processing
- Maintain accurate patient records and import personal information from NP questionnaires into charts
- Send referrals out by the end of the day
- Coordinate with dental office staff to ensure smooth patient flow
- Provide excellent customer service and address patient inquiries or concerns professionally
- Follow HIPAA guidelines to protect patient privacy and confidentiality
Secondary Responsibilities (Back Office Support)
- Prepare patients for treatments or checkups, ensuring their comfort
- Assist chairside as needed
- Prepare, clean, and disinfect treatment rooms for hygienist and dentist
- Maintain sterilization of instruments and follow safety protocols
Office Maintenance & Organization
- Keep the dental office clean, neat, organized, and inviting throughout the day
- Assist with daily and weekly office cleaning and organization tasks
Experience & Requirements
- Minimum 2 years of proven dental office experience required
- Experience with dental software, dental terminology, and dental practice web software
- Proven experience in insurance verification and dental office administrative workflows
- Knowledge of dental instruments and sterilization methods
- Understanding of health and safety regulations
- Strong written and verbal communication skills with excellent people skills
- Detail-oriented, reliable, eager to learn, and a strong team player
- Spanish speaker preferred (Chinese is a plus)
- Social media experience is a plus
Schedule
- Monday to Friday
- Some Saturdays / weekends as needed
