Qualifications
Required
- Any combination of education and experience equivalent to graduation from high school or possession of a General Equivalency Diploma (GED) certificate.
- Three (3) years of experience in high-level office administration, some of which must have been in preparing documents, notices, and operational guidelines.
- Advanced degree(s) beyond the minimum degree requirement in a relevant field may be considered for some experience.
- Knowledge of the functions of the school division, its operating procedures, and regulations.
- Knowledge of social media tools and platforms, with the ability to perform routine updates and share content effectively.
- Familiarity with the functions and activities of county, state, and federal agencies.
- Proficiency in the use of office technology for routine tasks, including spreadsheets, presentations, and document preparation.
- Strong analytical and organizational skills.
- Ability to handle sensitive information and maintain a high level of confidentiality.
- Ability to deal tactfully and respectfully at all levels.
- Ability to work under pressure to meet time constraints and deadlines.
- Ability to communicate effectively, both orally and in writing.
- Bachelor's degree.
- Some experience in public education or government relations environment.
- Knowledge of public education mission, organization, instructional goals, and curriculum practices.
- Skill in working with BoardDocs.
- Receives general supervision from a school board member and indirect supervision from the director of district board operations, school board staff aide, or senior executive administrative assistant. May provide guidance and assistance to full-, part-time, and/or hourly employees, as assigned.
- Provides confidential, technical, and administrative support for the Board member.
- Performs administrative functions including, but not limited to, screening and reviewing needs of all incoming correspondence/calls/visitors and issues referred to the School Board member; drafting and proofreading responsive documents and correspondence, ensuring factual correctness and completeness of replies; routing matters requiring action; maintaining control records and following up to ensure timely response or action; maintaining Board member's calendar; making travel arrangements; and facilitating reimbursement.
- Gathers data and conducts research on Board-related issues and projects.
- Prepares, formats, and organizes reports, presentations, and materials for meetings, ensuring everything is ready in advance.
- Manages and tracks special projects, compiling necessary data and reports.
- Reviews regulations and procedures to support the Board's activities and ensure compliance.
- Schedules and coordinates community meetings and focus groups, gathering constituent feedback.
- Prepares written summaries or reports based on research and gathered data.
- Monitors and tracks updates on public education news, legislative agendas, and relevant laws/regulations.
- Provides technical assistance to Board member as needed.
- Coordinates communication with community groups, government officials, and other stakeholders.
- Collaborates and promotes engagement to progress the School Board's work including, but not limited to, outreach; scheduling of community and constituent meetings; and assisting in preparing for and attending community, School Board, and FCPS events/meetings, as required by the School Board member.
- Maintains and updates the Board member's social media, newsletters, and website, ensuring content is current and accurate.
- Works a schedule that may vary weekly depending on needs of the Board member.
- Performs related duties as required or assigned.
