We are seeking a detail-oriented and proactive Administrative Assistant to support our Tax Department. This role is essential to ensuring the smooth operation of our tax team, especially during peak seasons. The ideal candidate will be organized, professional, and capable of managing multiple tasks efficiently.
Key Responsibilities
- Serve as a point of contact for clients, gathering required information and ensuring clear, timely communication
- Provide administrative support to tax professionals by scheduling appointments and coordinating calendars.
- Track deadlines and monitor project progress to support the on-time completion of tax filings.
- Assist with the electronic and paper filing of tax returns, including coordinating resolution of any rejected filings.
- Maintain accurate and organized client records in accordance with firm standards.
- Support the onboarding of new clients by preparing quotes, setting up profiles in internal systems, and managing document intake.
- Collaborate with other departments to ensure smooth workflow and consistent client experience.
- Contribute to internal efficiency by preparing client handouts and assisting with training materials.
- Associate or Bachelor’s degree in accounting or related field, preferred.
- Prior experience in an administrative role, preferably in a CPA firm or professional services environment.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with tax software (e.g., ProSeries, Lacerte) is a plus.
