FaciliServ, a nationally-recognized, family-founded business, specializes in servicing a wide range of athletic and gymnasium equipment, including bleachers, backboards, gym curtain dividers, and more! Due to continued growth and expansion in our service areas, we are seeking a motivated Operations Coordinator to join our team.

Position Summary:

This supervisory role requires experience organizing and scheduling field service work, managing repair projects, tracking fleet usage and maintenance, and following up on field service crew efficiency and safety. Experience overseeing field crews from a centralized location is required.

Key Responsibilities:

Working out of our Woodstock Corporate Office, you will:

  • Coordinate and schedule field service appointments, ensuring technicians are assigned efficiently based on location, skill set, and urgency.
  • Communicate effectively with clients to confirm appointments, provide updates, and address any service-related inquiries.
  • Collaborate with the National Operations Manager and technicians in the field to monitor progress, troubleshoot issues, and ensure timely resolution of repair tasks.
  • Develop and implement project schedules for the installation, repair, and maintenance of bleacher and athletic equipment.
  • Learn the ins and outs of bleacher safety, repair, and installation in order to assess project needs and estimated project timelines.
  • Ensure adherence to fleet management procedures, site check-in requirements, and safety standards.
  • Track orders, supplies, vehicles, and staff to uphold the high-quality service levels expected by our customers.
  • Maintain detailed records of all service activities, including parts used, time spent, and customer feedback.
  • Prepare reports on service performance metrics to identify areas for improvement and optimize workflows.
  • Support inventory management by tracking parts and tools required for repairs and coordinating restocking as needed.
  • Ensure compliance with safety standards and company policies during all field operations.

Qualifications:

  • Minimum of 3 years coordinating and scheduling service staff in a company with field service employees. At least 1 years of experience in service staff routing on a national scale.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously in a fast-paced environment. Able to work well under pressure and within deadlines.
  • Excellent professional communication skills, both verbal and written, including active listening, attention to detail, and collaboration mindset. Able to interact with clients, technicians, and internal teams.
  • Proficient in Microsoft Office Suite; strong Excel skills, Word, Outlook, PPT, Excel, Access, etc., as well as database management programs, and Customer/Sales Management Software (ACT!, Salesforce, or other CRM).
  • Career-focused, positive, professional individual seeking long term employment.
  • Able to work with manual, paper processes and adapt to changing procedures/systems as process improvements occur.
  • Some college preferred.
  • Flexibility to adapt to changing priorities and respond promptly to urgent requests.
  • Understanding of supply chains, order, and inventory processes.
  • Willingness to learn but also to suggest areas of process improvement.
  • Able to meet physical responsibilities of the position, with or without reasonable accommodation.

Additional Requirements

  • Possess a valid driver’s license and clear motor vehicle report.
  • Lifting up to 30 pounds periodically.
  • Willingness to work in both indoor and outdoor settings for special projects. Open to occasional travel, as requested, to support operations initiatives (up to 20%).
  • Ability to work independently, while managing project scheduling efficiently.
  • Valid driver's license with a clean driving record.
