The Patient Concierge is the first point of contact for all clients and patients, responsible for delivering exceptional customer service and creating a warm, welcoming environment. Education and Experience
2 years of front desk, medical office, luxury spa, or hospitality experience
Associate's Degree or Bachelor's Degree, or equivalent experience
Schedule
Monday – Friday (occasional weekends or evenings as needed)
7:45 AM – 4:15 PM
Primary Job Duties
- Greet all patients and guests with professionalism, warmth, and discretion
- Manage check-ins, check-outs, appointment confirmations, and scheduling with precision
- Answer incoming calls, emails and website inquiries, providing information on procedures, services, and policies
- Maintain a clean, organized, and calming front desk, kitchen, and common areas in the office, submit building service requests as needed.
- Maintain a professional, polished appearance and demeanor appropriate for a luxury clinical environment
- Coordinate patient flow between providers, nurses, and treatment rooms
- Collect and verify patient intake forms, and payment information
- Patient Journey and Retention: ensure patient follow up’s are scheduled, reach out to patients for scheduling to ensure treatment plan compliance, assist with rewards programs
- Maintain strict patient confidentiality and comply with HIPAA regulations
- Assist with pre- and post-op instructions and general concierge-style support (e.g., offering refreshments, arranging transportation if needed)
- Support sales and service staff by upselling treatments, packages, skincare products, Faces membership or promotions when appropriate
- Monitor stock of office and kitchen supplies and promotional materials, order as needed
- General Administrative Support: Assist with tasks like filing, photocopying, faxing, and other clerical duties.
- Enter and maintain updated information in databases and systems.
- Opening and closing the office
- Order AC for weekend as needed
- Order Oxygen and Gas for the OR as needed
- Maintain strict patient confidentiality and comply with HIPAA regulations
- Assist with pre- and post-op instructions via messaging system
- Provide general concierge-style support (e.g., offering refreshments, validating parking, arranging transportation if needed)
- Collaborate with clinical and marketing teams to ensure seamless patient experience
